About the team
The Business Services section is a small but mighty team of professionals who are critical to the optimal functioning of the Department. The team is comprised of two sub-sections: Fiscal Services and Support Services. The Business Operations Supervisor leads the Support Services team who are at the forefront of coordinating and maintaining critical business services to ensure that the Department is compliant with established policies, objectives, priorities and applicable laws, rules, and regulations. The team supports central mailroom functions, facilities operations and maintenance, data and records management, public records services, sustainability initiatives, and evacuation and emergency coordination efforts for the Department.
About the Position
The purpose of this position is to supervise and coordinate the activities of staff performing a wide range of critical agency support activities for the Department. The Business Operations Supervisor evaluates the quality of services provided, authorizes the redistribution of available resources to meet changing Department needs, and coordinates activities to ensure compliance with established policies, objectives, priorities and applicable laws, rules, and regulations. This position leads the section in the identification of problems, efficiencies, and future needs, and implements approved recommendations.
The person in this position is responsible for supervising office support staff by assigning work, reviewing work for compliance and accuracy, coordinating the operation of the office support activities, establishing and maintaining procedures and controls regarding the various agency support activities and preparing statistical reports on office support activities. Responsibilities of the section include mail processing, the handling of money received in the mail room and front desk, production copy services, agency fleet monitoring and reconciliation, data and records management, public records activities, facilities and emergency management related activities, and sustainability.

Minimum Qualifications
Four years of lead work, supervision, or progressively related experience; OR one year of related experience and a bachelor's degree in a related field.
Related fields include business, finance, facilities management, leadership/management, emergency preparedness, business continuity planning or other related fields of expertise.
Preferred Qualifications
Leadership experience that includes either direct supervision, project management, team lead experience or other leadership opportunities.
Strong communication skills, including speaking, writing, training, and presenting.
Strong organization skills, including the ability to manage multiple priorities; work with multiple deadlines, continual change, and at times heavy workloads; and pivot between competing priorities (including many same-day requests) and situations with ease and grace.
Experience fostering diversity, equity, and inclusion initiatives and ensuring our work environment is welcoming, positive, and a place where all employees can succeed.
Ability to evaluate and establish work priorities both individually and as a team to move projects forward.
Digital fluency with office software, applications, collaborative platforms, virtual meeting apps, and presentation software (e.g., Microsoft Office products, PowerPoint, SharePoint, Adobe, Zoom, Microsoft Teams)
Experience working collaboratively with, providing advice or technical assistance to, agency staff, other department staff, public officials, interest groups, and the public.
Ability to identify and safeguard confidential information and materials.
Experience reviewing documents for accuracy and completeness.
Experience with represented staff management, following procedures, and abiding by and training to laws and regulations in the public sector.

Working Conditions
Office environment; professional work week. On rare occasions, may be required to travel out-of-town. Position requires constant careful attention to details and deadlines. Regular attendance is an essential function of this position. May also require extended time viewing a computer terminal and talking on a telephone. Due to the supervisory nature of the work, this position will be required to be in the office up to 5 days a week, with the ability to telework up to 1 day per week, depending on workloads. Actual hours will be determined upon agreement and approval of supervisor.
