Position Description

Position Overview: A Business Operations Specialist collaborates in team settings, managing tasks such as inputting sales data into Systems, Applications, and Products in Data Processing (SAP), identifying new accounts, resolving pricing issues, confirming rebates, and generating reports. This individual will also be in charge of maintaining organizational charts, auditing transactions, managing procedures, addressing inquiries, and supporting sales team projects. It's crucial that this individual identifies opportunities for automation to enhance efficiency by collaborating with internal teams for transitioning from manual processes, assisting in tracking, and managing projects supporting the sales team (FIT).

Key Responsibilities

  • Process and analyze sales traces from distributors and warehouses.

  • Assist in the quarterly status changes procedures.

  • Research and determine strategies for non-tracing warehouses.

  • Research and resolve any pricing discrepancies by liaising with internal Pricing team and distributors.

  • Maintain the Sales team's organization chart and update team members' status changes in SAP.

  • Facilitate and assist with processing the Sales team's quarterly organizational changes.

  • Audit daily Electronic Data Interchange (EDI) transactions.

  • Generate daily sales trace reports.

  • Respond to daily inquiries from internal team members and external customers.

  • Assist with tracking and managing projects that support the sales team (FIT).

Performance Objectives:

Within your first 30 days:

  • Complete all Applied Learning foundational courses with a passing grade of 95% or above, demonstrating rapid integration into company processes.

  • Learn about your team structure and the individuals who are part of it.

  • Participate in team meetings and operations, contributing valuable insights and ideas.

  • Understand the types of warehouse and distributor accounts and order types.

  • Beginner understanding of SAP for trace entering & status change verifications.

Within 60 days:

  • Clear understanding of sales tracing customers and processes.

  • Efficient in SAP for trace processing and status change verifications.

  • Comprehension of researching and determining strategies for non-tracing warehouse requests.

Within 90 days to one year:

  • Advanced understanding of sales tracing customers and processes.

  • Comprehending and analyzing traces.

  • Clear understanding of researching and determining strategies for non-tracing warehouse requests.

  • Ability to identify and escalate tracing and warehouse issues.

Position Requirements

  • One to three years of administrative and customer service experience.

  • Bachelor's degree.

  • Highly organized with strong attention to detail.

  • Demonstrate ability to multi-task and prioritize tasks.

  • Exceptional follow-up skills.

  • Working knowledge of Microsoft Office suite, particularly Excel.

  • Excellent written and oral communication skills.

  • Exhibit strong work ethic and enthusiasm to collaborate and work within a team.

Preferred

  • Strong Excel skills including pivots and formulas.

  • Understanding of PowerBI.

  • SAP experience.
