What this job involves

This role primarily responsible for managing the business and administrative departments of an IFM operation in a manufacturing, research, development, and office environment. Scope includes management of financial and operations support departments. The role will ensure compliance, financial, and business support systems within the controlled environment of a Life Science high-end account. Managing and tracking customer relationship. The ideal candidate in this position will have a background in pharmaceutical, biotechnology, property care for multi-buildings campus. This role is responsible for designing and implementing strategic business programs, providing business leadership and support, and administering innovative and sustainable business processes. Responsible for delivering and improving contractual requirements as well as maintaining stable systems. This role requires a highly skilled cross functional individual with a proven track record of working in challenging environments. Finally, this role requires a strong level of expertise in analytical and communication areas.

Job Responsibilities

  • Ensure client satisfaction with clients at all levels in the organization; demonstrate leadership, responsiveness and creativity.

  • Develop and maintain a strategic plan for work flow, planning, and scheduling, in support of JLL and client objectives, with a focus on innovation and best practices and standardize work scheduling processes and procedures.

  • Lead and manage a team of financial and customer service professionals.

  • Manage and track budgets, conduct variance analysis, perform and meet budget forecasts.

  • Ensure delivery of purchase orders and procurement are completed in a timely manner, and accurate payments to vendors meet contractual requirements.

  • Communicate effectively and professionally with all stakeholders throughout t the organization, client, and vendor networks.

  • Supervisory role involves people management, decision-making, root cause analysis, inspections and audit readiness, communication, management of planning/scheduling and assignment, drive overall improvement of productivity.

  • Provide oversight, direction, and support the procurement team to ensure work can be scheduled in a timely manner to drive compliance with KPI requirements.

  • Meet all standard operating procedures, codes, and regulations.

  • Ensure consistent business support is compliant with service level agreement and ensure achievement of Key Performance Indicators.

  • Perform additional job duties as requested.

Safety

  • Identify risks to client facilities and eliminate downtime

  • Implementation and management of the computerized maintenance management systems in accordance with JLL and client expectations.

  • Responsible for the adherence and compliance with all JLL work practices.

  • Administer compliance with and reporting of applicable environmental health and safety programs

Training

  • Develop training programs based on needs gathered through skills assessments and safety requirements

  • Administer technical skills assessments and technical training program of procurement personnel

Other

  • Conduct business assessments and produce documentation

  • Support preparation of business operations driven documents, report and other deliverables.

  • Assist JLL departments such as Communications, Finance, Human Resources, Sourcing, Human Experience, Program Management, and EHS, as needed.

Qualifications

  • Undergraduate degree in business administration, finance, or related field, or field experience

  • Minimum 10 years direct experience in operational, financial, and customer service.

  • Strong technical knowledge of financial software, procurement systems, databases, Microsoft Office programs, etc.

  • Business acumen including financial planning and analysis must be able to manage within budget and time constraints.

  • Strong interpersonal skills, ability to communicate well in both oral and written reports

  • Strong organization skills and collaborative management style
