Position Description

Advertised Job Summary

The School of Hospitality and Tourism Management (HTMT) in the College of Hospitality, Retail and Sport Management (HRSM) seeks to employ a qualified applicant for the temporary position of Administrative Coordinator I (Internal Title: Business Operations Coordinator). The successful candidate will support the Director of the School of HTMT as well as the Program Manager in administrative and business operations functions to include, but not limited to the following:

a). Provide support as needed to School of Hospitality and Tourism Management Director and Program Manager.

Assist with travel, reimbursements, purchases, payments, purchase orders, and contracts as assigned by Program Manager.

Assist graduate coordinators with application reviews; respond to graduate program inquiries; create and maintain spreadsheets to track graduate student prospects. Track and ensure accuracy of printed material supplies for graduate programs. Order desk copies for faculty.

Perform clerical duties such as filing and scanning documents (45%). b). Receive School of HTMT students and guests by greeting, welcoming, directing and announcing them appropriately; offer hospitality (guest speakers, industry partners, donors, prospective students/candidates, etc.). Manage appointments, answer phone, deliver messages. Oversee mail operations. Track supply inventory (Staples, coffee, etc.). Maintain HTMT suite organization.

Act as liaison to facilities for relevant requests and departmental needs (25%). c). Provide operational support for department events, including but not limited to: Department meetings, Advisory Board meetings, and Spring Fling Dinners/Receptions. Reserve rooms for meetings and guest lectures in 25Live.

Assist the School of HTMT with logistics for guest speakers, including arrangements for parking, gifts, certificates, etc. Prepare and track recognition gifts (20%). d). Provide back up support to Program Manager as needed, relative to human resources functions (5%). Perform other duties as required or assigned (5%).

Qualifications

Earned Bachelor's Degree, or high school diploma and relevant experience in business management, public administration or administrative services, and/or equivalency.
