Position Summary:
The Business Operations Administrator (Administrative Operations Specialist I) will support the Rice Business Executive Education department by carrying out skilled administrative and financial functions. The person in this role must be able to work both independently and collaboratively with a team. Exceptional customer service, attention to detail, clear and concise communication, and the ability to be a self-starter are essential to being successful in this role. The role will focus on managing business operations functions under the supervision of the Director of Business Operations for Executive Education. These functions support the development and delivery of educational programs for professionals and executives. They will engage with a variety of stakeholders including Rice faculty and staff, Executive Education participants, suppliers, business partners, and clients. The job includes a variety of routine tasks (i.e. data entry, scheduling, book-keeping, and inventory) but also complex tasks (i.e. synthesizing, organizing, and interpreting data and reports, responding to customer issues, and identifying and solving problems). Ideal Candidate Statement:
The ideal candidate will demonstrate exceptional administrative and problem-solving skills. They will be proficient in the MS Office suite, particularly Excel, and have a working knowledge of basic algebra. Their detail-orientation and curiosity will enable them to analyze and interpret complex data sets and reports. Their work style should be proactive, service oriented, and collaborative.
Workplace Requirements
This is a hybrid position, with occasional evening and weekend work. The Business Operations Administrator will work approximately 3 days per week in-person at Rice University and 2 days remotely. They will be issued a laptop that can be taken off-campus for remote work and will have a desk in an open cubicle area when working on campus. The schedule is semi-flexible, but generally, they will be required to work during the department's office hours, which are Monday - Friday between 8:00 am and 5:00 pm. Per Rice policy 440, work arrangements may be subject to change.
Hiring Range: $50,000 - $52,900 (depending on experience)
Minimum Requirements:
Bachelor's degree
In lieu of the education/experience requirement, additional related education and/or experience, above and beyond what is required, may be substituted on an equivalent year-for-year basis.
2+ year of administrative or bookkeeping experience

Preferences:
Experience with Oracle systems

Essential Functions:
Implements, administers and evaluates day-to-day business and administrative activities of the department, function or program
Provides input on the budget, budget planning and other financial matters
Assists in managing unit budgets and monitors and approves expenditures
Assists in the management and coordination of the human resource function including performance management, promotion, employee relations, compensation, job descriptions, job postings and recruiting
Organizes, manages and completes special projects
Collects and analyzes data, creates reports, reviews and explains trends; formulates and evaluates alternative solutions and recommendations to achieve the goals of the program or function
Analyzes and interprets policies; develops, revises and implements procedures
Plans and implements outreach activities that may include communications, events, training, conferences, and fundraising
Performs all other duties as assigned
Additional Functions
Occasional event coverage that may include registration, logistics, networking, and marketing functions
Executive assistant functions such as calendaring, travel arrangements, and completing expense reports on behalf of senior leaders
Other administrative functions such as inventory management, note-taking, scheduling, meeting coordination, and creating documents for meetings and presentations
