The Administrative Coordinator is a key administrative position within Chartwell and a member of its administrative team. The Administrative Coordinator works with and supports the Chief Administrative Officer, ADCOM, and firm leadership to manage day-to-day business operations within the firm's practice groups, help develop, implement, promote, and advance firmwide initiatives to improve overall performance, efficiency, and enhance firm culture.

Job Responsibilities

  • Works collaboratively to coordinate and implement firmwide attorney mentoring program.

  • Works with the CAO, the IT, and Accounting Departments to help review and analyze various financial metrics including the performance of the practice groups, attorneys, and other legal support staff. Generate proposed solutions for areas of opportunity and/or concern for review with leadership. Work collaboratively to implement agreed upon solutions.

  • Monitors various metrics, KPIs, and other goals for profitability, client service, and other operational and quality control targets. Help establish programs to maximize productivity, profitability, teamwork, and utilization.

  • Assists with budgeting, dashboards, and other reporting.

  • Assist with firmwide and practice group strategic and business plans.

  • Works with the firm's Women's and DEI committees to help development and implement initiatives and programs to support stated goals.

  • Collaborates with other administrative departments on various initiatives such as onboarding and departure related matters; productivity monitoring; client service, rates, and guideline compliance.

  • Assist with attorney and staff professional development including internal training, utilization, and management of third-party vendors.

  • Assist with various library and knowledge management initiatives at a firmwide and practice group level.

  • Assist with other related responsibilities as needed.

Requirements

  • Bachelor's degree required

  • Minimum of 2+ years related law firm experience.

  • Previous experience with practice group administration and financial reports/metrics preferred.

  • Demonstrated leadership and supervisory experience required.

  • Strong written and verbal communication skills, the ability to communicate effectively and in a professional manner within the firm and externally with clients, third parties, and vendors.

  • Ability to work in a fast-paced, dynamic environment, multi-tasking and working across organizational lines and with other departments regularly.

  • Effective skills to manage and implement projects and other change management initiatives.

Strong people focused skills with the ability to anticipate needs and spot potential issues, using independent judgement to resolve issues and elevate to leadership as needed
