Operational Duties:

  • Responsible for various business office functions, including: billing, cash posting, chart preparation, cash posting, collections, insurance verification, medical records, patient registration, and scheduling.

  • Responsible for performing registration functions of patient admissions, including reviewing all information with patient, completing appropriate forms, and copying appropriate insurance cards and photo identification.

  • Performs insurance pre-certification, verification, and interviews patients prior to surgery. Verifies and obtains all patient eligibility, authorizations, benefits, and claim information with insurance companies.

  • Reviews the insurance contract profiles in AdvantX and manages reimbursement process. Works with electronic billing vendor to resolve any e-billing issues, denied claims, etc. Processes all insurance claims in clearinghouse (GHN).

  • Performs collections, reconciliation, and follow up activities timely on all accounts. Negotiates payment plans on self pay accounts utilizing established policies regarding Settlement Discounts.

  • Schedules patient surgical procedures and maintaining the surgery schedule.


  • Minimum (2) years of experience in a medical office setting highly preferred. (i.e. ambulatory surgery center, hospital, doctors office).


  • Basic Life Support (BLS) may be required as determined by facility practices.

The Office Coordinator is responsible for overall front office activities for the Distribution Center, including developing and monitoring programs for maximum utilization of services and equipment. ESSENTIAL FUNCTIONS * Act as first impression for our office. Greets all visitors and vendors entering the DC and follows procedures for signing in/out * Maintains a professional and organized reception area * Establishes, develops and maintains the filing system for the DC * Answers incoming phone calls and routes or handles as instructed * Organizes and prioritizes information and calls coming into the DC * Sorts and distributes mail * Acts as liaison with corporate and outside agencies/vendors * Regular meeting preparation including scheduling and document organization. * Orders office supplies * Participates in meetings, including taking detailed notes * Supervises and maintains office machines, including copy machines * Participates in onboarding and orientation of new team members * Assists with overflow work in other departments including customer service and inventory control * Other duties as assigned by management COMPETENCIES * Fabulous, service oriented, can-do attitude * Willingness to have fun while being productive * Hands-on team player with a high level of energy * Strong ability to multi-task and work on time sensitive projects * Able to work independently and within a team on special projects * The aptitude to learn tasks quickly and to proactively seek assistance when needed * Experience in MS Office, including Excel, Word and Power Point * Experience with a Warehouse Management System (WMS) preferred PHYSICAL REQUIREMENTS * Light work.
