As a Business Office Manager a typical day might include:

Create positive, memorable customer experiences, every day, through effective interaction and by following through on the position responsibilities. Will provide human resources and accounting support to the executive director, including assisting with recruitment, benefits communication, paperwork processing, compliance, orientation and new hire processing, accounts receivable & payables activities, and with creating a positive first impression for customers through front desk coverage.

If you are good at:

General Office:

Encourage, coach and support receptionists to inspire professional, compassionate performance to create memorable customer experiences.

Perform receptionist duties when necessary.

Proactively coordinate all supply orders, maintenance of office equipment, ensuring all equipment is in working order and facilitating repair when necessary.

Participate in the Manager on Duty program.

Human Resources:

Process payroll change forms as required for terminations, pay increases, leaves of absence, promotions, etc., in a timely manner.

Provide eligible team members with insurance related information and maintain accurate records of health, dental and life insurance coverage elections including distribution of enrollment applications, coverage changes, etc. Submit such documents to the support center office on a timely basis.

Process payroll in a timely fashion, ensuring all changes and policies are applied and followed.

Assist hiring managers to check references of job candidates, and coordinate drug screening and background checks for applicants.

Confirm proper licensure of all professional staff including LEAs, LPNs, and RNs.

Maintain accurate personnel records and files.

Conduct comprehensive orientation for all new team members.

Accounting:

Code invoices and obtains invoice approval from the executive director.

Prepare and make changes to New Vendor Forms.

Print monthly resident statements and deliver to residents and/or responsible party.

Collect monthly rents and charges and update system's A/R collection notes for the audit trail. Post to Yardi.

Batch and scan monthly checks.

Monitor A/R aging and collections efforts.

Review Health & Family Services (HFS) Monthly Pre-payment Report against the monthly Resident Charges Report printed from Yardi.

Minimum Requirements

To be the ideal Business Office Manager for this role:

Previous 2-5 years of experience working in an office environment, with some bookkeeping knowledge and previous experience in payroll or human resources, highly preferred.

Must use imagination and creativity to motivate self and others.

High school graduate or equivalent.

Must be inspired to serve the needs of customers.

Proficient computer skills and knowledge of various computer software programs.
