JOB TITLE:

Department of Graduate Medical Education Business Manager

JOB PURPOSE:

Manage, direct and supervise the business operations of the graduate medical education office and residency/fellowship programs, including financial and office activities and services; interpret, administer, and apply university policy and procedures; conduct special projects as set forth by the Designated Institutional Official (DIO). This includes managing purchasing, payments, contracts, billing, and budgeting, including assist with development of policy and procedures for area of influence; ability to work under limited supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage, direct and supervise business operations of a designated independent unit or college including record administration and reporting systems, development of workflow and analysis, process administration and maintenance of forms and filing systems.

  • Review business practices, policies and procedures; analyze data flow and perform computer reporting and file research for special projects; monitor business activity; monitor workforce distribution and planning; monitor and make recommendations regarding account expenditures; has direct budget responsibility and control over budget accounts.

  • Prepare financial reports, associated budget analyses, and cost projections.

  • Supervise accounting and related personnel functions.

  • Review business/accounting work for accuracy and coordination of flow; research and report on budgeting and personnel activity.

  • Counsel staff and clients regarding policy, procedure and guidelines; provide policy interpretations and application procedures.

  • Collaborates with leadership to manage operation issues, hiring of program faculty/residents/fellows, budgetary matters, space needs, short- and long-term planning.

  • Verifies and processes payroll records, account payables and receivables.

  • Manages the invoices for the resident billing accounts and all matters regarding grants and contracts including review and initiating in the University system.

  • Monitors funds and provides budget development.

  • Monitors and approves expenditures and maintains proper records to assure accuracy and compliance.

  • Supervises both space and equipment inventories.

  • Assures compliance with fiscal policy and procedures, auditing, state/federal and grant guidelines.

  • Manages the GME support operating accounts and approval for all programs.

  • Develops and reviews procedures related to reimbursements and payable to ensure proper internal controls are in place.

  • Initiates attending contracts and onboarding of program faculty.

  • Manages contracts within the GME residency/fellowship programs that relate to budgetary needs and/or expenses.

  • Manages personnel and budget actions for resident/fellows

  • Additional responsibilities as needed and directed by the DIO

SUPPLEMENTAL FUNCTIONS:

  • Conduct special projects, as directed.

  • Responsible for computerized documentation; may perform routine programming.

  • May monitor and update fee schedules as directed.

  • May act as liaison to departments and campus administration.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

MINIMUM QUALIFICATIONS:

Education: Bachelor's degree in Accounting, Business Administration, or a related field

Experience: 2 years work-related experience

Required licensure, certification, registration or other requirements: Valid driver's license with a motor vehicle record (MVR) that is compliant with the University Vehicle Use Policy.

DESIRED QUALIFICATIONS:

Experience with University of Wyoming financial systems.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of:

  • Business practices, financial reporting, and cost projections.

  • Budget management and planning.

Skills and Abilities to:

  • Analyze budgets and expenditures ensuring compliance with fiscal policies, accountability, reporting and funding requirements.

  • Analyze and interpret financial data and prepare financial reports, statements and/or projections.

  • Balance and reconcile accounts following accounting policies and procedures.
