Position Description

Advertised Job Summary

Under minimal supervision, coordinates and supervises all business management and fiscal records activities in the Department of Mathematics. Under general supervision, coordinates, supervises, and directs the complex operation of a large scale academic department (40 full-time faculty, 10 or more adjunct/visiting faculty, a staff of 5, over 200 undergraduate majors. Provide assistance to the department's faculty and staff to ensure compliance with federal, state and University policies and procedures.

Minimum Qualifications

Bachelor's degree and 2 or more years of experience, which may be substituted by equivalent combination of certification, training, education, and/or experience.

Preferred Qualifications

Thorough knowledge of policies and procedures in the development, preparation, and implementation of both federal and state grants and academic regulations required. Knowledge of personnel, procurement, and fiscal procedures and policies. This position requires efficient and independent office management skills, word processing, and database applications.

Knowledge/Skills/Abilities

Proficient in personal computer operation. Working knowledge of MS Word and Excel.

Proficient in database applications for use in development and refinement of databases. Ability to communicate effectively and maintain good working relationship with diverse University personnel, faculty, staff, students, and the public. Ability to plan, organize, and supervise the work of subordinate personnel.

Ability to maintain confidentiality. Preferred Qualifications: Knowledge of University mainframe software (IMS and OnDemand) and University web-based applications (DataWarehouse, Intranet, etc.). Knowledge of University fiscal procedures, policies, and grant funding requirements.

Supervises and coordinates all personnel operations maintains personnel records, coordinates the submission of all personnel documents, monitors correct payout, and advises personnel regarding policy and procedures. Supervises compliance with time and effort reporting procedures. Initiates and coordinates personnel journal entry preparation and execution.

Essential Function Yes Percentage of Time 10 Job Duty

Supervises staff in the main office. Coordinates leave actions for staff.

Initiates Summer Compensation and hiring Staff and should be a reliable source in handling other hiring documents and processes for HR procedures when Administrative Assistant is out or needs assistance. Responsible for maintaining files and approving staff time sheets in HCM. Responsible for submission of staff EPMS's with approval of Chair.

Essential Function Yes Percentage of Time 10 Job Duty

Supervises and coordinates all activities related to procurement, accounts payable, and accounts receivable, acts as liaison with those offices, and assures compliance with policy and procedures. Oversees purchasing card usage within the department, international payments, and cash advances.

Oversees internal billing. Reviews all procurement items. Approves Travel request to assure funding available.

Under minimal supervision, coordinates and supervises all business management and fiscal records activities within the Department of Mathematics to include operating of summer school accounts, lab fees, overhead service, start-up and grant accounts. Assures compliance with approved budgets.

Develops and provides budget and salary reports and projections, and initiates budget transfers and journal entries. Corrects over-expenditures and manages close-outs. Prepares summaries and analyses of grant information, indirect cost, time and effort reporting, recovery information, pending grant information, and award information.

Acts as signatory for all financial documents and assures compliance with policies and procedures on those documents.

Serves as representative at meetings related to business management, including participation in budget development process, and attends training sessions as needed.

Oversees building maintenance and security; Acts as liaison for the Math Department by working with Facilities and University Police. Monitors conditions of offices, classrooms, labs, lounges, halls and stairs, and takes corrective action when needed.
