Summary of Job Duties:

  • Oversee the day-to-day operations of accounts receivable, accounts payable, postal services, and switchboard. Supervise business office personnel including work-study and part-time help

  • Assist the Controller with monthly reconciliations and Workday processes

  • Oversee the business asset registration and reporting process

  • Reconcile all bank and investment accounts

  • Process stop payments on checks

  • Prepare cash vs G/L balance report

  • Verify pledged securities against bank balances monthly

  • Monitor CD's, checking for best interest rates at maturity

  • Process returned checks and send notifications by registered mail

  • Prepare and enter journal entries for interest, postage, central stores, and departmental charges that are submitted on request for on campus supplies or services form

  • Prepare unclaimed property report annually which includes the mail out of due diligence letters

  • Provide information to employees concerning mileage, per diem meal and lodging rates for specific locations

  • Provide help to employees when they have trouble submitting spend authorizations or expense reports

  • Process expense reports including coding and verifying receipts

  • Process IRS Form 1099

  • Prepare and submit monthly sales tax reports and sales tax rebate reports

  • Post bank checks reconcile each day until end of month posting

  • Assist with legislative and internal auditors

  • Perform other related responsibilities as required.

Qualifications:

Bachelor's degree in business or any related field. Three to five years of experience in accounting or a related field required. Exceptional experience may be substituted for preferred degree. Excellent customer service, verbal and written communication skills and ability to multi-task required. Experience with accounting ERP systems a plus. Must be willing to work flexible hours and as a team player.
