St. Jose Sanchez del Rio Catholic School (formerly Rolling Hills Catholic School/Antonian Middle School) is seeking an experienced and driven Business Manager. St. Jose is an Archdiocesan school serving students K3-8th grade in San Antonios beautiful Stone Oak area.

Essential Functions:

Financial Duties

  • Manages the school's finances to include the reporting of the (a) general ledger, (b) balance sheet and income statement, (c) statement of cash flow on a monthly, quarterly, semi-annual and annual basis, and (d) accounts receivable and payable.

  • Manages and oversees the collection of past due tuition and extended care accounts.

  • Reviews requisitions and purchase orders and reconciles/approves as necessary.

  • Researches discrepancies regarding the accuracy of invoices, implementing corrective measures, communicating with vendors or others as needed to reconcile issues.

  • Develops reporting procedures and internal controls for timely and accurate completion of reporting and record-keeping requirements.

  • Assists principal in the preparation of the school's budget and forecasting.

  • Recommends policies, procedures and/or actions for the purpose of improving efficiency and providing direction for meeting the school accounting objectives.

  • Maintains accounting records for accurate and up-to-date filing and recordkeeping.

  • Reconciles all banking transactions and monthly bank statements on a monthly basis.

  • Assists in banking and other financial transaction activities as required.

  • Assists in ensuring the reliability of key operating data through period audits and corrective action.

HR/Personnel Duties

  • Prepares and submits the schools payroll on a bi-weekly basis.

  • Responsible for assisting principal to prepare Ministry Agreements, Acknowledgements and the Benefits Package of new and existing faculty/staff members.

  • Responsible for gathering and submitting paperwork of all new employees to Archdiocese Human Resources Office.

  • Responsible for communicating annual health benefits to employees.

  • Responsible for auditing health benefits each year for employees

  • Responsible for paying referees and seasonal coaches for school athletics.

  • Responsible for coordinating petty cash drawers for athletics, school dances and various fundraisers.

  • Responsible for paying reimbursements to faculty and staff via check request or direct deposit.

  • Acts as the liaison between the School and Archdiocese in financial matters and human resource matters.

Additional Duties

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the accounting system. Note: The above description is illustrative of tasks and responsibilities. It is not meant to be all inclusive of every task or responsibility.

Equipment

  • Uses standard office equipment such as personal computer, copy machine, fax machine, telephone, etc.

  • Uses calculating devices.

Knowledge, Skills and Abilities

  • Knowledge of accounting and bookkeeping principles.

  • Organizational and time management skills.

  • Ability to report work orally or in writing to supervisor as required.

  • Ability to carry out instructions furnished in written or oral form.

  • Ability to add, subtract, multiply and divide, perform complex arithmetic operations and use calculators.

  • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel).

  • Ability to learn new software applications when needed.

  • Ability to problem-solve job-related issues.

  • Ability to process paperwork accurately according to standardized procedures.

  • Ability to maintain confidentiality of information regarding school financial and other information.

  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.

  • Ability to train and mentor other accounting employees.

  • Ability to function as a team member and be involved in school activities as directed by the principal. (i.e. festivals, retreats, community gatherings, etc.)

Physical and Mental Demands, Work Hazards

  • Works in school office building environment, climb stairs, interact with employees

Education/Qualification Profile

  • Minimum of 5 years accounting experience or related financial experience.

  • Knowledge of generally acceptable business practices (GAAP) required.

  • Bachelor of Business Administration in Accounting preferred.

  • Excellent verbal and written communication skills.

  • Work environment: 8 hour day, Monday through Friday. May require evening and/or weekend work on occasion. Summer hours may vary.
