Overview

The Corporate Engagement and Foundation Relations (CEFR) team at Princeton serves the University's mission of advancing knowledge through relationships with corporations and foundations. CEFR supports faculty and other campus partners at the University through a proactive process of identifying, initiating, and managing relationships. We work to understand the needs and priorities of corporations and foundations and align them with the strengths of Princeton.

The Business Manager is a key position in supporting the CEFR office. This position is responsible for managing the complex gift acceptance process and working closely with University partners such as faculty, department managers and staff, ORPA, OGC, Advancement, RIA, OTL, F&T and more, as well as manages the data in CEFR's Salesforce database.

Additionally, the Business Manager runs award reports through various systems. This position requires a strong attention to detail. A comprehensive knowledge of the data maintained in the University's databases (Salesforce, Tableau, Stripes, Prime, IW, ERA, etc) is necessary to be able to make appropriate judgment as to the correct data for entry, as well as strong computer skills to prepare reports.

This position is responsible for managing the CEFR office's operating budget which includes forecasting and projecting expenses, processing requisitions, handling invoices, overseeing Concur, etc. In addition, this person manages the HR aspects for the office.

Additionally, the Business Manager is responsible for handling special projects such as analyzing and reporting accurate and confidential data reporting to high level University offices such as ODFR, Trustees, the Provost Office, OGC, F&T/Global Financial Services, etc, and can include confidential legal requests such as litigations for data and documents/records. Furthermore, this position works on special reports such as the Department of Education's Section 117 Foreign Gift and Contract Reports, NSF's Higher Education Research and Development (HERD) Survey, as well as with F&T to review deficits and unchanged balances in term accounts.

Responsibilities

The Business Manager is responsible for managing the gift acceptance for all industry and nonprofit gifts, as well as financial reporting This includes liaising with University donors and working collaboratively with faculty, Department Managers/Staff, as well as other campus partners, to draft, negotiate and review gift agreements, process gift transmittals, generate invoices and track payments, complete funding applications, provide tax documents and banking information to donors to on board Princeton within donor payment systems, contacting donors when payments are due, as well as processing all industry and nonprofit gift payments and processing it through the University Cashier and Advancement. Good audit practices are followed with email confirmations of receipt of funds.

This position is responsible for the management and entry of all gift and sponsored research award data, as well as award payment and donor information in the Salesforce database that is maintained by our office. In addition to managing the award data in Salesforce, this position also manages the entry of donors, identifies foreign organizations, and prepares data cleanup as needed in order to keep the data accurate for reporting and informational purposes. Gifts are reviewed, negotiated and processed by the Business Manager, in collaboration with the Executive Director, as well as offices such as OGC, Advancement, ORPA, RIA, OTL, F&T, etc. on an as needed basis.

The Business Manager works in partnership with Advancement, as well as F&T, to record these gifts within the University guidelines. Review, discuss and handle sensitive and urgent issues regarding gifts that may arise. A comprehensive knowledge of the data maintained in the University's databases (Salesforce, Tableau, Stripes, Prime, IW, ERA, etc) is necessary to be able to make appropriate judgment as to the correct data for entry, as well as strong computer skills to prepare reports.

Manages the office's budget by forecasting/projecting expenses, processes all requisitions for the office, pays invoices, onboards suppliers and consultants, manages memberships and sponsorships including reporting lobbying fees, manages/approves all Concur charges, and orders/approves office supplies including IT equipment as needed. This position also drafts, reviews and administers consultant agreements including SOW's and coordinates with Procurement for review.

ORPA sponsored research award reports are run and reconciled on a weekly to biweekly basis through various systems, and require attention to detail as the data can change. This data, as well as the award documents, are reviewed by the Business Manager to ensure accuracy by reviewing the data reports and documents, and resolving any discrepancies prior to the manual data entry into Salesforce and award entry into Advancement's Stripes for University reporting purposes.

All data from ORPA awards, as well as gifts entered by Advancement, is entered manually to Salesforce by the Business Manager. This data includes various types of sponsors/donors such as Industry, Foundation, and Private.

Responsible for analyzing and reporting accurate and confidential data/reporting (and documents upon request) to high level offices such as the Dean for Research, the Trustees, the Provost and President's Offices, Office of General Counsel, Global Financial Services/F&T, RIA, etc. This includes confidential and legal requests such as litigations for data and documents. In addition, the Business Manager analyses and prepares data for internal reports such as the Trustees report and the office's Annual Report.

Special projects such as works with F&T by compiling and analyzing data to identify foreign funding given to the University to remain in compliance with the Department of Education for Section 117 Foreign Gift and Contract Reporting purposes. The Business Manager also works with F&T on a quarterly basis to review gift account deficits and unchanged balances to remain within University compliance across University departments.

The Business Manager works with the departments (and donor as needed) to ensure that they remain in compliance, and works with them to rectify the deficits as needed. The Business Manager collaborates with F&T and ORPA to capture and report business and nonprofit expenditures for research to the National Science Foundation for the Higher Education Research and Development (HERD) Survey.

The Business Manager also manages the HR aspects of the office such as posting job positions, reviewing resumes, and the interview and hiring processes such as onboarding, as well as offboarding when an employee leaves the University. This position also oversees paid time off within the CALM system, reviews and approves time collection of casual employees, as well as manages the daily responsibilities of casual employees (if any), overseeing the move of the office, etc.

Qualifications

5+ years of relevant work experience.

Knowledge of University Systems: IW, Prime, STRIPES, PeopleSoft, Tableau, ERA.Working knowledge of Salesforce.Report writing ability in the IW, Salesforce, Peoplesoft and Tableau.Working knowledge of the University's General Ledger system and Microsoft Office.Ability to maintain strict confidentiality and handle sensitive information and material in a discretionary and time sensitive manner. Ability to review large amounts of award data and build comprehensive reports.Excellent written, oral, and interpersonal communication skills; ability to interact efficiently with all groups.High level of attention to detail and high degree of accuracy, as well as the ability to work both independently and with other offices.
