The Branch Accounting and Documentation Manager will oversee daily billing operations, job order expense accruals and work with the export team on process improvements in the export documentation processes of three freight forwarding branches in NJ, CA and TX. This position is domiciled in Pinebrook, NJ

The ideal candidate will be an analytical thinker who instinctively finds creative and practical solutions to improve processes, performance and productivity of export documentation and billing staff.

  • Develop innovative ways for cost effective billing, accruals and payment processing that will enable Clark to operate more efficiently and effectively to execute their business goals.

  • Manage A/P processing - reconciling to job order accruals.

  • Develop and maintain branch customer service, branch productivity, and gross margin metrics/reports as requested by the leadership team in Finance and Operations

  • Review vendor invoice exceptions including discrepancies in amount charged, paperwork accuracy, as needed, or as required by internal audit.

  • Ensure ocean and air freight billing and payables are processed in accordance with defined schedules .

  • Train branch personnel on both legacy AS400 export documentation system and third party Freight Forwarding software (Cargowise)

  • Act as key member of team in upcoming review of export documentation and Warehouse Management Software integration.

  • Disciplined Maintenance of Customer Billing profiles and documentation SOP's

  • Communicate interactively with vendors and branch managers through phone calls and emails to resolve inquiries concerning vendor payments.

  • Handle various daily and monthly accrual and billing exception reports.

  • Complete credit applications from expanding universe of transportation agents and vendors.

  • Contact vendors or other employees to secure documents and information needed.

  • Laison with Human Resources/Payroll specific to Pinebrook NJ branch.

  • Ensure timely recovery of overpayments and payments made in error.

  • Maintain Claim and Service failure logs/coding and process claim settlements.

  • Work and contribute in a team setting to accomplish overall company, department, and individual goals.

  • Other duties as assigned.

  • Must be able to navigate in a fast-paced environment with the ability to prioritize duties and projects.

  • Strong organizational skills and strong communication skills (both written and verbal) with the ability to multi-task and maintain a strong sense of urgency while managing time effectively and efficiently.

  • Ability to work independently, offer direct and factually based recommendations, conform easily based on shifting priorities

  • Must be detail oriented and enjoy a fast paced, multi-tasking, customer service minded environment while displaying a sense of urgency and ability to work under pressure with attention to detail.

  • A strong understanding of Information Technology capabilities as it relates to export documentation and transportation billing and job order accrual functions

  • Bachelor's degree or plus 5 years experience in Branch Management accounting for international freight forwarder.

  • Proficiency in Microsoft Excel with developing macros/templates for staff.

  • Experience in communicating with customers relating to payments, with excellent verbal and written communication skills, preferred.

In this role you will be responsible for the division warehouse activities. You will have the authority to initiate action to prevent the occurrence of any non-conformity relating to product, process, and quality system. To identify ad record any problems relating to the product, process, and quality system. To initiate, recommend, or provide solutions through designated channels. To verify the implementation of solutions and control further processing or delivery of nonconforming product until the deficiency or unsatisfactory condition has been corrected. What You'll be Responsible For Essential duties and contributions * Safe practices and safety consciousness in all activities. * Maintain accurate inventory and cycle counting program. * Train co-workers as required to achieve established goals. * Responsible for safety, quality and productivity of warehouse operations. * Review loading and receiving processes to minimize errors. * Balance shift workload. * Responsible for receiving, put-a-way, replenishment, picking, loading and housekeeping. * Review identification and tagging of products that is stored in the division's warehouse. * Review facility to ensure superior housekeeping standards. * Operate all business systems relevant to the warehouse operation. * Configure warehouse physically * Review forklift and warehouse equipment requirements and types of new equipment available and daily rep011ing to ensure that repairs are performed on a timely basis. * Review warehouse space requirements and what type of new material handling and communication equipment is on the market that may improve efficiency. * Ensure that all material handling equipment is kept in good condition n. * Other essential duties as assigned by Management. What We're Looking For Minimum Qualifications: Education and Experience: * High school graduate or GED equivalent with good math and English skills * Four-year degree preferred and/or two to four years related experience and/or training; or equivalent combination of education and experience. Computer literate. Knowledge, Skills & Abilities: * Ability to write reports, business correspondence. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. * Ability to add, subtract, and multiply, and divide. Ability to compute rate, ratio and percent and to draw and interpret bar graphs and compute productivity and quality rates. * Long range planning and ability to develop and implement strategy. Ability to make own decisions in the field. Customer service orientation. Excellent problem solver. Provides leadership, motivation and positive attitude to all co-workers both in his/her department as well as the Division. Physical Demands & Work Environment * Able to lift 25 lbs without assistance stand, stoop, bend, lift, push and pull up to 50 pounds frequently with warehouse equipment.
