Faegre Baker Daniels has an opportunity for a Business Development & Marketing Administrative Assistant to work with our Business Development & Marketing team in our Downtown Indianapolis office. You will be part of a dynamic team dedicated to supporting internal clients ensuring a consistent brand experience throughout the firm. This position will work with other talented individuals who share a passion for doing great work and a spirit of collaboration.

What you would do in this job:

  • Coordinate logistics of meetings and conference calls

  • Assist with calendar management and provide availability updates

  • Process expense reports, code invoices, scanning, e-mailing, and other administrative tasks as assigned

  • Make travel arrangements, both domestic and international

  • Draft, edit, and distribute correspondence

  • Order business cards and schedule photography needs for new hires

Requirements

  • 3-5 years of administrative assistant experience

  • Minimum of high school graduation. Completion of business school, related professional secretarial program or equivalent experience

  • Prior experience and strong skills in the use of Microsoft Office Software required

VIEW JOBS 10/20/2019 12:00:00 AM 2020-01-18T00:00 Job Location: Corporate Indianapolis PRIMARY PURPOSE: This position's primary responsibility is to provide support to the Vice President of Marketing for the Simon Premium Outlets and on an as needed basis other members of the corporate marketing team. Candidates for this role must have extensive experience in a similar capacity supporting a VP or higher and possess effective verbal and written communication skills, have the ability to juggle multiple tasks that are time sensitive, be extremely resourceful and responsive, while maintaining a high degree of professionalism, confidentiality and integrity. Experience in a marketing environment, or interest in the work of marketing and a fast paces environment, is a plus. PRINCIPAL RESPONSIBILITIES: The position responsibilities will include, but not be limited to: * Provide all necessary recurring sales, traffic, departmental reporting to key stakeholders. * Coordinate calendars for key meetings, and arrange conference rooms, set up, other arrangements that help to ensure meetings run smoothly. * Coordinate and manage VP's calendar and arranging for web conference, video conference and general conference calls as required. * Assist other departmental Administrative Assistants in the running of the department from a supplies, mail, galley perspective. * General office administrative duties such as greeting visitors at the reception area; handle incoming and outgoing deliveries; correspondence, files as needed. * Preparation of various projects that may require the use of excel spreadsheets, power point presentations, web based research. * Schedule all necessary travel arrangements when requested. * Complete all expense reports ensuring accuracy and timeliness of submission. * Maintain courteous and professional relationships with co-workers and extended corporate marketing team, platform administrators and executives; professionally interface with all internal departments of Simon Property Group. * Maintain a high level of confidentiality and professionalism. MINIMUM QUALIFICATIONS: * Five years minimum administrative experience required, working for Sr. Level leadership within last organization and/or equivalent experience in a Simon administrative or marketing related support role. * Advance level of Microsoft Word and Excel. Outlook and/or Lotus Notes experience necessary * Excellent verbal and written communication skills. Collaborator with willingness to assist others. * Ability to work independently without direct supervision. * Self-motivated and problem solving experience. Excellent time management and organizational skills and ability to meet deadlines and work well under pressure. * Strong organizational skills. * Ability to proof large amounts of information, check for accuracy and appropriateness of data. * Professional appearance. * Effective communication skills, both verbal and written. * Polished telephone courtesy. * Attention to detail. * Resourceful in finding solutions to obstacles in getting the job done, if needed. * Multi-task oriented with experience working in a highly-matrixed organization.
