Business Development Coordinator
We are seeking an experienced and passionate Business Development Coordinator to join our team. The role embodies a "one team" mentality, with a keen eye for identifying support opportunities. This role reports to the National Sales Manager and also directly supports the Chief Revenue Officer. This is a hybrid role working onsite in Danville, CA every Tuesday - Thursday and remotely Mondays and Fridays.
Responsibilities and Essential Functions
Administrative and Business Development Support:
Maintain trackers and dashboards and regularly report to the Business Development team via emails, meetings, etc.
Provide administrative assistance to the Business Development team as needed, including research, data analysis, report generation, budget tracking, dashboard management, creative support, travel booking, calendar scheduling and more
Manage marketing inventory, including promotional materials and branded merchandise
Contribute to building and maintaining trusting relationships with Account Managers and School Partnerships, all call points at locations, including physicians, nurses, business owners, spa managers, front desk administration, estheticians, massage therapists and all other supporting staff
Manage the flow of information to ensure inquiries are answered in a timely manner and departmental memos are distributed for action quickly and effectively. Write, edit, and proofread documents and emails with accuracy
Assist in the preparation of and maintain proposals, presentations, and other Business Development materials
Assist in planning and organizing Business Development events and meetings including but not limited to coordinating event logistics, venue selection, catering and maintaining guest lists. Ensure all event-related materials and presentations are prepared, accurate, and up-to-date
Chief Revenue Officer Support:
Handle and prioritize time sensitive and confidential information and documentation with a high level of attention to detail, integrity, and discretion
Prepare and edit correspondence, reports, presentations, and other documents as assigned
Organize and prepare materials for meetings, including managing logistics, agendas, presentations, and minutes. Attend meetings to take notes and follow up on actions items
Manage and maintain executive schedule, including calendar management, meetings, appointments, and travel arrangements and itineraries
Create spreadsheets, run reports, and maintain detailed, organized records as needed. Assist with various research and special projects as needed including tracking project progress in a timely manner and providing updates to the appropriate parties
Assist in budget preparation and monitoring, including tracking expenses
Ensure all invoices, payments, and expenses are submitted to Finance and are paid in a timely manner and in compliance with company policies
Collaborate with CRO and Directors on various projects, including those related to new hires, company events, office functions, and offsite meetings
Serve as a liaison between executives and other department to facilitate internal communication
Assist in planning and organizing department events and meetings including but not limited to coordinating event logistics, venue selection, catering and maintaining guest lists and attendance reports. Maintain rooming lists, travel plans and itineraries. Ensure all event-related materials and presentations are prepared, accurate, and up-to-date
Experience and Qualifications:
2+ years experience in preferably in aesthetic, medical or beauty industry
Bachelors degree OR equivalent combination of education and work experience
Resilient and able to thrive in a fast paced environment with strong multi-tasking abilities
Manage expenses within fiscal guidelines and policies
A valid driver's license (not a high-risk driver) and reliable car
Experience in using Microsoft Office tools (Word, Excel, PowerPoint)
Physical Demands:
Must be able to lift and carry objects weighing up to 25 pounds
Ability to stand, walk, and bend for extended periods
Excellent hand-eye coordination and manual dexterity
Ability to move around the office including stooping, crouching, and/or kneeling to troubleshoot issues
Must possess a valid driver's license and have a clean driving record
Ability to perform repetitive tasks with accuracy and attention to detail
Must be able to communicate effectively in verbal and written form
Comfortable lifting, pushing, and pulling equipment and materials
Comfortable using a computer, keyboard, and mouse
