The Role

Zume, Inc. is looking for an exceptionally bright, multitasking and self-motivated Executive Assistant to support the Vice President of Ratio. The position be primarily based in Mountain View, CA with occasional need to work from our San Francisco, CA offices. This is a vital role to Zume, Inc. and requires proactive gate keeping of the VP's time, while also having a collaborative rapport with individuals within and outside of the organization to help track and drive completion of cross-functional key deliverables.

What You'll Do

  • Effectively and proactively manage complex calendar coordination according to changing team and company priorities, while anticipating conflicts and solving scheduling issues

  • Coordinate and schedule domestic and international meetings, appointments and travel. Project manage all logistics with white-glove service by anticipating materials, technology resources and ad hoc arrangements needed

  • Prepare and submit personal and departmental expense reports

  • Prepare and edit internal and external correspondence and presentations

  • Track and help drive completion of key deliverables and follow up on outstanding items across departments

  • Organize and plan team meetings and outings

  • Partner closely with Office Managers and Executive Assistants within the company on high-level projects, offsite events and company-wide initiatives

  • Look for opportunities to continually streamline the executive's workload

  • Handle curve-balls like a pro (i.e. You know how to respond quickly to requests and adjust schedules on the fly to accommodate executive needs)

Who You Are

  • 4+ years experience as an Executive Assistant, preferably in a technology start-up environment or comparable fast-paced operations, manufacturing, or legal experience

  • Bachelor's degree required

  • Able to perform duties with a high level of confidentiality and discretion; exhibit integrity and trustworthiness with sensitive information

  • Organized and conscientious while still able to manage shifting priorities and thrive in ambiguity; positive, flexible, patient and open-minded

  • Independently seek to identify and resolve problems in a timely manner with minimal direction and maturity; be a creative and proactive problem-solver

  • Experienced communicator with strong written and verbal skills; use tact and diplomacy when interfacing different personalities within and outside of the company.

  • Self-awareness in communications with differing cultural dynamics and practices of external parties will be particularly crucial

  • Proficient with Microsoft Excel, Word and PowerPoint / Google Suite, Adobe

  • Have a strong cultural fit and work ethic with Zume and department teams

  • Strong understanding of business processes and organizational budgets

  • Comfortable working 40 hours per week with availability outside of regular business hours for urgent matters or planning needs; Flexibility to match executive's schedule
