Job Summary:

As an Administrative Assistant for the Business Development Team, you will play a crucial role in supporting the daily operations and initiatives of our business intelligence department. You will work closely with the Business Development Operations Manager and team members to ensure efficient coordination and execution of tasks, projects, and business intelligence administrative functions. Flexibility in work arrangement: This role offers the opportunity for a hybrid work model, combining remote work with in-office presence as needed.

What you will be doing:

  • Documentation and Reporting: Assist in the preparation, formatting, and distribution of business development documents, presentations, and reports. Ensure accuracy, consistency, and confidentiality of information.

  • Data Entry and Database Management: Update and maintain databases, CRM systems, and other relevant platforms with accurate and up-to-date information. Organize and manage files, documents, and records for easy access and retrieval.

  • Meeting Coordination and Logistics: Arrange logistics for business development meetings, including scheduling, agenda preparation, venue booking, and catering arrangements. Take meeting minutes, track action items, and follow up on outstanding tasks as needed.

  • Research and Analysis: Conduct research and gather information on industry trends, market opportunities, competitors, and potential clients. Assist in analyzing data and preparing reports to support business development strategies and decision-making.

What we are looking for:

  • Communication Skills: Strong verbal and written communication skills to interact professionally with team members, external stakeholders, and clients. Ability to convey information clearly and concisely.

  • Time Management: Capacity to prioritize tasks, multitask, and efficiently allocate time and resources to meet competing demands in a fast-paced environment.

  • Administrative Proficiency: Proficient in administrative tasks such as managing emails, phone calls, and inquiries, maintaining databases and records, preparing documents and reports, and handling general office duties.

  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Familiarity with CRM systems and database management is an asset.

  • Research and Analysis: Ability to conduct research, gather information, and analyze data on industry trends, market opportunities, competitors, and potential clients to support business development strategies and decision-making.

  • Attention to Detail: High level of accuracy and attention to detail in data entry, documentation, report preparation, and information management to ensure quality and reliability.

  • Adaptability: Ability to adapt to changing priorities, tasks, and circumstances, and remain flexible and resilient in a dynamic work environment.

  • Confidentiality: Ability to maintain confidentiality and handle sensitive information with discretion and integrity, adhering to company policies and procedures.

  • Team Collaboration: Strong interpersonal skills and the ability to work collaboratively as part of a team, supporting team members, sharing information, and contributing to a positive work environment.

  • Problem-Solving: Capacity to identify challenges, propose solutions, and address issues proactively, demonstrating initiative and resourcefulness.

  • Customer Service: Dedication to providing excellent customer service and support to internal and external stakeholders, ensuring their needs are met efficiently and professionally.

  • High school diploma or equivalent.

  • At least two years' related experience required.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
