Job Summary

The Business Coordinator supports Michigan Language Assessment's business management functions through completion of executive administrative tasks for senior management, including acting as executive support to the CEO, general finance processing, critical human resource support and support for projects as assigned. This is a front of house position requiring the ability to multi task and take a lead on general office duties.

Responsibilities*

  • Provide executive support through managing staff calendars as assigned, facilitating meeting requests and room bookings, agenda preparation and action monitoring, assisting in scheduling travel and accommodation and processing expenses and reimbursements, and meeting and greeting visitors at all levels of seniority. These duties will include handling sensitive and/or confidential matters.

  • Support human resource (HR) functions through data entry, assisting in the hiring process (including posting approved positions, scheduling interviews and completing system hiring requirements), maintaining employee records and coordination of new employee orientations and terminations. Facilitation of the performance management and learning and development processes.

  • Assist with projects as directed. Carrying out research as required and summarizing options. Scheduling meetings, action taking, tracking and action follow ups.

  • Provide financial support for processing of all payments including purchase orders, invoices and reimbursements, and posting of cash received in financial systems.

  • Provide other administrative support as directed. Including: Managing reception, events/conference support and coordination and acting as backup for the Business Specialist for mail receipt and distribution, ordering office supplies, coordination of food and beverages for staff events & guests, and supporting facilities functions.

Required Qualifications*

  • Associate's degree (preferably in business administration)

  • Exceptional written and oral communication skills

  • Proficiency with Microsoft Office

  • Ability to quickly understand financial software packages

  • 2-4 years providing executive level support in a corporate environment

  • Proven ability operating effectively in a busy office environment

  • 1-2 years working with basic finance responsibilities

  • Excellent customer service

Job Summary Michigan Medicine's Health Information Technology & Services (HITS) Department seeks a Business Systems Analyst to join our EHR Application Infrastructure team within the Architecture and Operations Management (AOM) division. Ideal candidate has the agility to facilitate execution of multiple enterprise-wide strategic projects and initiatives to support the organization's Epic based EHR (electronic health record) platform services and infrastructure. The role requires the individual to be organized, strong in project coordination, and has a technical background with a general understanding of the technical infrastructure and staff, including servers, storage, network, and desktop support teams. Under general supervision, successful candidate will coordinate infrastructure planning, optimization changes, and production support for the Epic based EHR system. This position will analyze, develop and implement processes to ensure we maintain a reliable, secure and responsive system. Create process change by integrating new processes with existing ones and communicating these changes to impacted teams. May lead workgroups and act as project manager in some cases. At various stages of project and support work, individual will be responsible to collect system and workflow requirements, define and document use cases for the development of technical solutions extending the functionality of the system, services for data exchange to secondary systems, and supporting tool sets for these initiatives as well as developing operation support procedures and supporting documentation. Assist in capacity planning and preparation for Operating and Capital budgets. Prepare reports, presentations, and correspondence for management review. The role also supports demand, project and portfolio management activities. Collect and collate technical information and coordinate technical resources to ensure organization's best practices are being met and support both internal and external system audits and assessments. These responsibilities will result in efficient, standardized, appropriate process changes that will be integrated and communicated to management and groups. This position requires the ability to work in a fast paced and complex environment. Requires excellent people skills, verbal/written communication skills and ability to think critically. This position will provide guidance/training to more junior staff and will require occasional weekend work for system upgrades. Includes analysis of business and user needs, documenting requirements, and revising existing system logic as necessary. * Proven success in project coordination and general project management. * Proficiency with desktop management software, including Microsoft Word, Excel, PowerPoint, Project, Visio, OneNote, and screen capture tools, e.g., Snippit, SnagIt. * Knowledge and proficient with collaboration, knowledge base, and Incident/Change Tracking tools, i.e., SharePoint, Confluence, Jira, and Service Now.
