The Job

This is a project role ending February 2021. Production coordinates events across multiple platforms including but not limited to political conventions, election nights, debate & town halls, international Presidential travel, deaths of notables and big breaking news.

The Daily

  • The position will be responsible for supporting producers and technical staff daily in multiple cities as well as in the field as needed

  • Must have understanding of production workflow and budgeting

  • Main responsibilities will include producing budgets for events, researching and acquiring vendors, travel & expense management, liaison with risk management, Legal, Finance and Accounting as needed

The Essentials

  • Must be organized with experience creating and managing media budgets

  • Will actively participate in pre-production by building event budgets with producers, researching vendors, coordinating deposits and seeking competitive vendor bids

  • Book and oversee travel, hotel and transport of staff

  • Post event you must process vendor payments (knowledge of ARIBA a plus) and approve employee expenses (CONCUR) following the budget

  • Communication is key in this role so excellent verbal and written communication skills are required along with a strong attention to detail

  • Must work well in groups and in fast paced environments as well as be good at handling multiple assignments at one time and have ability to prioritize

  • Field support : As needed for events and breaking news

  • Could include but not limited to surveys, pre-event budget preparations, negotiations with vendors & venues, fixer & runner management, setup workspace, order & manage credentials and catering, supplies and other event support logistics as required

  • Support Director of Business Operation SpEv: Contribute to budget discussions and have a clear understanding of entire production process (all elements from start to finish) and internal billing/allocations

  • Negotiate contracts as needed

  • Experienced and comfortable with excel to manage budgets and actual costs as well as pull relevant data for analysis

  • Support staff and event personnel on international travel, booking flights, visas, passports

  • Support organizing staff and gear needs for unilateral coverage. Understand the USTV Pool and CNN's role and responsibilities

VIEW JOBS 8/15/2019 12:00:00 AM 2019-11-13T00:00 Description Part of the division's Strategic Communications team, Advancement Events produces events for the Advancement and Alumni Engagement division of Emory University. This position directly supports the event project management and production teams to create effective engagement events while ensuring that the internal and external clients and stakeholders are engaged, informed, and have visibility into the event details. This position will report to the director of advancement events. Key responsibilities of the position include: guest data management (pulling potential guest lists, creating and managing registration processes, entering response data, etc.); creation and management of event supplies and collateral (nametags, documents, signage, etc.) including event-in-a-box supply kits for regional events; assisting with venue and vendor research; creation of proactive event status reports; on-site guest relations and registration management; training and supporting event volunteers; and full coordination of certain event functions. * Coordinates the logistics necessary and assists in the planning and execution of conferences, meetings, and various types of special events for an advancement and alumni engagement program. * Acts as a primary day-of-event representative to the client before, during, and after event. * Tracks and monitors event expenses; may assist with billing and payment processes. Recommends appropriate venue options based on the scope and specifications of the event. * Liaises with vendors. * Works with departments to plan events, and assists with implementation. * May assist with registration and travel arrangements for event attendees. * May assist with volunteer training or management. * May assist in the gathering of collateral for and distribution of pre-event briefs. Provides reports, documentation, or materials for post event analysis. * May assist with debriefing management and other Advancement staff on event outcomes. * Performs other related responsibilities as required. * Some night and weekend work is required. * Some travel may be necessary. MINIMUM QUALIFICATIONS: * A bachelors and one year of experience, OR an equivalent combination of education, training, and experience. * Cover Letter Required for Consideration Additional Details PREFERRED QUALIFICATIONS: * Strong attention to detail * Experience in process improvement and project management * Experience with event design, planning, and execution * Strong organizational skills and fluency in simultaneous project operations * Experience in working in a donor database and/or customer relationship management (CRM) system, including database entry and queries * Experience creating/managing guest registration systems * Experience with project management software * Spreadsheet (Excel) skills and ability to synthesize and understand data * Ability to write and edit many types of documents * Flexible and responsive approach to workplace and ability to quickly assimilate information and rapidly execute necessary steps * Effective management skills for managing event volunteers and temporary staff * Strong interpersonal skills and commitment to excellent customer service * Strong problem-solving skills, proactive approach, and sound judgment * Ability to work collaboratively and collegially in a diverse and energetic environment * Demonstrate a high level of integrity, trust and intellectual curiosity.
