The Business Affairs Coordinator is responsible for coordinating activities that safeguard the company against legal risk and protecting the Publix brand. The incumbent researches and provides guidance to Marketing teams in the development of customer-facing marketing content, supports trademark and copyright management, participates in creative content compliance reviews, and assists with marketing supplier contract negotiations and execution.

Responsibilities include:

  • Review marketing content for assigned business areas to identify potential risk resulting from regulatory and /or product claims and escalate concerns to leadership when appropriate.

  • Assist Marketing associates with contract preparations and manages negotiations with stakeholders including corporate counsel and ensures contracts adequately meet business needs, satisfy Publix standards, and are properly executed.

  • Prepare documents to be filed with United States Patent and Trademark Office necessary to acquire and/or maintain existing Intellectual Property owned by Publix.

  • Research and provide feedback on trademarks used in customer facing marketing communications to protect the integrity of Publix's trademarks and to ensure there are no infringements with third party owned registered trademarks.

  • Manage compliance with regulations required as a result of Marketing business operations including state bond waivers and tax documents.

  • Participate in and support marketing department training covering laws and regulations related to advertising claims, programs, and promotions.

  • Serve as a liaison between Marketing and Corporate Legal for collaboration, communication management, and sustainment of organizational relationships within the departments.

  • Support the Manager, Business Affairs with creative review for high-tier projects and business plan initiatives and/or intellectual property research as assigned.

Required Qualifications

  • Associate's degree in Marketing, Advertising, Business, or Business Law or equivalent experience
  • 2 years of experience in Administration/Customer Service
  • awareness of government regulations governing product attributes and/or operational claims
  • ability to review customer marketing content for assigned lines of business from development to publication and provide guidance as appropriate to claims being made to ensure Publix compliance with current regulations and industry standards
  • strong knowledge of contracts, including Publix standard contractual terms, guidelines for negotiations, execution, and proper management of records within the Ariba database
  • strong knowledge of proper use of intellectual property, including trademarks and copyrights, and support the management to maintain ownership and renewals of such trademarks
  • ability to educate Marketing associates on regulations, industry standards, as well as best practices related to marketing developed content, programs, and intellectual property to ensure Publix is protected from legal exposure
  • ability to manage projects with short deadlines/urgency to ensure any concerns with content or processes are resolved without slowing the project down
  • ability to work in a fast-paced, results-oriented team environment and grasp new concepts quickly

Preferred Qualifications

  • Bachelor's degree in Marketing, Advertising, Business, or Business Law or equivalent experience
  • 2 years of legal/business affairs experience
