Position Title: Buntrock Commons Coordinator

Department: Student Life and Finance Office

Reports To: Director of Auxiliary and Buntrock Commons

Classification: Non- Exempt E FTE: 1 Salary: $22.15 - $24.25

Essential Job Duties:

1.Manage CS Gold and Ole Card services

  • Provide customer service support related to the Ole Card to students, staff, and faculty.

  • Oversee the production of campus ID cards.

  • Manage and support the Ole Card Web Deposit System, meal plans, admissions dollars, department dollars, print dollars, and flex dollars within the CS Gold System.

  • Reconcile the CS Gold account daily, including invoices for payment to food services and Carleton College, and work with the Business Office and IT regarding CS Gold Ole Card issues.

  • Support the Point of Sale System through the Ole Card System on campus and to outside businesses.

2.Coordinate scheduling and reservations for the College, and Buntrock Commons Event Support

  • Facilitate space reservations for Buntrock Commons and most classroom spaces for non-academic use

  • Collaborate with other schedulers (Music, Athletics, Registrar's Office, Lion's Pause), and the Conferences, Camps, and Events Management Office

  • Manage reservation policies and procedures for tabling spaces, hallway displays, and other resources

  • Provide training opportunities on utilizing the room reservation system

  • Coordinate room set up and support technology needs for Buntrock meetings and events,in collaboration with Facilities, Food Service and Host organizations

  • Assist with Minors on Campus processes and oversight

3.Manage transportation

  • Oversee college fleet reservations and maintenance including check-out/in process, key

  • Submit mileage changes to the Business Office monthly

  • Coordinate College transportation offerings including liaising with various transportation vendors, coordinating taxi voucher system, and tracking monthly ridership

  • Ensure compliance with the college's driver's authorization policies and tab renewals

4.Assist with Lion's Pause Kitchen operations

  • Assist with training and supervising the Lion's Pause Co-Coordinators in concert with Office of Student Activities staff, and help advise Lion's Pause Kitchen and Finance executive and general staff.

  • Assist with oversight, training, and support of Pause financial operations and scheduling. Create a work calendar for the Lion Pause Kitchen student work staff. Track hours and monitor the allotted budget for student work, work allowances.

  • Acquire and maintain Servsafe certification, and assist with oversight of health and safety standards, including regular walk throughs of the Pause Kitchen checking product dates, cleanliness of the kitchen, and ensuring we are compliant with all health code regulations.

  • Assure that all licenses for kitchen operation are kept up to date.

5.Manage Administrative Office functions and Buntrock Student Desk Staff

  • Facilitate the lowering, raising and replacement of Buntrock Commons' flags

  • Provide customer service to students, staff, faculty, and guests of the College

  • Train, supervise, and evaluate Buntrock Building Managers

  • Hire, train, and supervise Buntrock Information Desk Staff

  • Develop procedures, protocols, and job responsibilities for Buntrock student staff.

6.Other duties

  • Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community

  • Complete and meet deadlines for required training and performance management cycle

  • Perform other duties as assigned

Work Schedule:

Term: Year-round

Shift: The standard 40-hour work schedule is Monday - Friday; flexibility for rotating shifts between 7:00 am and 6:00 pm may be needed based on coverage needs of the department. Flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors. Some evening and weekend hours required for special events, training, or occasional meetings.

Required Qualifications: Maintain a valid driver's license and meet St. Olaf College driver authorization criteria with a satisfactory driving record

Required Education: High school diploma or equivalent;

Required Experience: 1+ years of administrative experience or facilities management experience

Preferred Qualifications:

Preferred Education: Bachelor's Degree in Student Affairs, College Student Personnel, Facilities Management, and or related field

Preferred Experience: 3+ Years of experience in building operations, student engagement, hospitality, or student services

Prerequisites:

Employment in this position is conditioned upon successful completion of a background check, which may include criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of a DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical.
