We have an opportunity for a Building Coordinator to join our Building Maintenance & Administrative Support team at our Chicago campus. Coordinators are responsible for the day-to-day operations of facilities management functions, ensuring our corporate office is properly and efficiently maintained, coordinating shipping & receiving, supporting our receptionist, and basic system maintenance (i.e., fixtures, temperature controls) including monitoring external vendors for various repairs. The position reports to the Facilities Supervisor and will be based at our corporate office -

PRIMARY RESPONSIBILITIES

  • General maintenance of our corporate office buildings identify problems and recommend solutions and/or execute/oversee repairs

  • Collaborate with other Facilities Coordinators for day-to-day operations of facilities management functions, ensuring our corporate office is properly and efficiently maintained.

  • Assist with coordinating shipping & receiving, receiving and stocking.

  • Supporting our receptionist as a back-up.

  • Provide maintenance (i.e., basic repairs, fixtures, temperature controls) including monitoring external vendors for various repairs (i.e., HVAC, light fixture, and plumbing).

REQUIREMENTS

  • High school degree; trade school a plus.

  • 1+ years of experience in an office or building support role.

  • Basic building maintenance skills ability to operate electric drill, etc.

  • Communications skills and ability to help employees at all levels for building operations.

  • Ability to handle building projects and priorities.

  • Ability to demonstrate good judgement and problem solving.

  • Basic computer skills and interest in learning new systems/applications.

  • Understanding of OSHA and safety regulations a plus.

This role will be a resource to Law School community members, and will carry out essential facilities tasks and responsibilities. Responsibilities: * Provide exceptional customer service in response to questions and concerns received by the building services team * Respond quickly, calmly, and efficiently to urgent facilities issues * Understand and follow University and Law School building processes and procedures * Assist the Director of Building Services with construction and building projects * Assist the Director of Building Services with onsite repairs as needed * Assist with managing facilities vendors, as directed * Provide assistance with event set-up and tear-down * Collaborate with the department of events, to ensure events run smoothly and efficiently * Receive, sort and distribute mail, building-wide * Assist with workspace shifts, office moves, and employee workspace requests * Process minor financial transactions for the building services team as directed * Oversee the Law School phone system * Monitor Xerox status, ensuring necessary supplies and materials are stocked * Update and maintain floor plans, seating and building maps * Update building services documents as necessary (emergency response plans, etc.) * Order supplies and materials as directed * Staff the lobby front desk during break and lunch times, on rotation * Perform related duties as assigned by the Building Services Director Competencies: * Ability to work evening hours with advance notice * Ability to exercise excellent judgment and make appropriate exceptions to policies when allowed * Ability to stay poised under pressure and maintain professionalism at all times when interacting with patrons, staff, students, faculty and others * Excellent problem-solving skills and the ability to recognize and refer problems when appropriate * Strong oral and written communication skills * Ability to work independently without constant supervision * Ability to prioritize a task and complete work fully and in a timely manner * Ability to work effectively on multiple concurrent tasks both independently and under constant interruptions * Manage interpersonal relationships and interact/communicate with clarity, tact and courtesy with patrons, staff, faculty, students and others * Use or learn a range of position-related software applications Additional Requirements Education, Experience, Certifications: Education: * High School Diploma or equivalent required * Associate's Degree or Bachelor's Degree preferred Experience: * Minimum of 2 years of professional experience required * Prior customer service experience preferred * Experience in facilities or building services preferred Working Conditions and Physical Requirements: * Ability to life and move boxes up to 50lbs * Ability to crawl or kneel on a regular basis * Ability to sit, stand or move continuously for prolonged periods Required Documents: * Cover Letter * Resume * NOTE: When applying, all required documents MUST be uploaded under the Resume/CV section of the application.
