The incumbent is responsible for purchasing food, equipment, supplies, and services; providing cost accounting and budgetary statistics; and preparing reports that indicate status of funds for subsistence and supplies for N&FS.

Major duties and responsibilities include but not limited to:

  • Developing and monitoring resources and making recommendations to the service regarding needs, distribution, or redistribution of these resources;

  • Serving as the budget and financial advisor for the Chief or designee;

  • Developing, formulating, and providing all essential data for the annual budget forecast;

  • Tracking all expenditures and comparing with budgeted, projected and on-hand inventories;

  • Maintaining budget control records and assures funds are used in accordance with the operating budget;

  • Advising on the status and availability of funds;

  • Processing all vouchers with the appropriate office and carrying out any needed follow-up;

  • Establishing and maintaining a procurement system for expendable supplies and equipment;

  • Reviewing and submitting the appropriate forms for the funding of purchase orders;

  • Maintaining various reports and using designated ledgers to account for cost accounting operations;

  • Compiling, consolidating, checking and arranging funding data in requests to cover projected annual operating expenses;

  • Preparing required documentation to resolve discrepancies with cost reports, budget analysis or other service-related needs;

  • Preparing correspondence and performing other general clerical duties;

  • Performing related duties as required.

Work Schedule: Monday through Friday from 8:00am to 4:30pm

Qualifications

To qualify for this position at the GS-6 grade level you must possess at least one (1) year of specialized experience that has equipped you with the particular knowledge, skills, and abilities to successfully perform the duties of this position. To be creditable, experience must have been equivalent the GS-5 grade level in the Federal service. Specialized experience includes administering and maintaining budgets; knowledge of budgets and purchasing requests; entering and tracking information; performing clerical duties in support of finance or accounting operations; and preparing correspondence. NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work is primarily sedentary but occasionally requires the carrying of light objects such as files, books, and papers. Work involves bending, stooping, standing, walking, carrying less than 15 pounds and using a computer terminal. Work is performed in an adequately climate-controlled office setting.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
