Marcus & Millichap, the nation's largest real estate investment brokerage firm, is looking for a Brokerage Administrator/Marketing Coordinator to provide professional support to the Cincinnati office. Candidates must be extremely dependable, organized, detail oriented, flexible, creative, and able to work independently. Additionally, the candidate must have exceptional follow-through, have the ability to work in a fast-paced environment, be highly motivated, possess exceptional PC skills, as well as written/verbal communication skills. The ability to multitask under pressure is a must.

Must be proficient in InDesign and Photoshop

The Front Desk Brokerage Administrator provides telephone and administrative assistance to Sales Agents and Management.

Responsibilities:

  • Process new listings, this may include: proofing and editing according to Marcus & Millichap guidelines, executing OOJ compliance procedures

  • Create and maintain confidential files relating to employment records and sales transactions files

  • Assist Operations Manager in the processing of closings and under contracts

  • Utilize postage machine and other shipping methods

  • Create and maintain office marketing material and sales aids using InDesign

  • Generate, copy, scan and bind documents for use by management and agents

  • Marketing support, including the coordination of events, contests, advertising, press releases, and public relations

Requirements:

  • Proficient in Adobe Suite.

  • Fanatic attention to deadlines and scheduling of multiple projects

  • Experience in the real estate industry or executive support

  • Excellent computer skills including proficiency in Microsoft Applications

  • Ability to prioritize tasks and work efficiently under pressure

  • Must be versatile and flexible in making last minute adjustments to work requests

  • Great interpersonal skills

Job Title: Leasing and Marketing Coordinator Company: Prologis Job Description: Primarily responsible for supporting the VP – Market Officer and VP - Leasing and Marketing / Leasing department. Position will require management of multiple priorities. Must be aware of and responsive to internal and external customer needs. The position requires balancing multiple priorities, being aware of and responsive to the demands of a multi-person team, and coordinating marketing initiatives with the Americas marketing group. The position will be fast-paced, handling many issues concurrently, which are often time-sensitive and/or confidential. Position Responsibilities: Leasing & Marketing Functions: * Provide support to VP Market Officer and VP Leasing in preparation & processing of leases through the lease cycle. * Draft initial lease documents including; marketing flyers, lease proposals, new leases, renewals/extensions/expansions, amendments, license agreements, and listing/co-brokerage agreements. * Create, coordinate and supervise the leasing & marketing collateral, including marketing signs, flyers, and other marketing branding carried out internally by the leasing team and externally by listing brokers. Coordinate with standards to ensure consistency. * Administration of procuring and listing brokerage commission process, including calculation, tracking and distribution of commission payments. * Track and record market lease comp information. * Develop and maintain strong broker relationships throughout the market. * Ensure all space showings are entered in Salesforce in a timely manner and ensure prologis.com is updated with accurate listings and current information. * Assist with coordination of communication with landlord and tenant brokers in connection with daily leasing activities at the properties, including follow up with same to collect information and documents necessary in the lease process. * Create portfolio tour books, stacking plans, and other miscellaneous marketing and property tour materials. * Provide miscellaneous support for external and internal requests. * Assist in helping ensure lease files are current; scan, file and distribute correspondence relating to marketing and leasing portfolios. * Develop a monthly marketing database (i.e. property availability report) relative to available properties to be distributed to the brokerage community. * Prepare and update Prologis investor tour books in preparation of institutional investor meetings and tours Administrative Functions: * Regular meetings and communications with Market Officer, VP Leasing, and Operations team to review workflow and improve procedural efficiencies. * Assist Operations team in various ad-hoc/special events and projects, e.g., broker events, department events, planning/meetings, etc. * Work with and support others on the Operations team, including the Operations Analyst, external leasing teams, property management teams, and acquisition, development and disposition teams, to ensure timely and effective workflow. * Provide full administrative support for Market Officer and Senior Leasing Representative including phone support, typing, reports, scanning, filing and distribution of correspondence. * Other administrative duties such as making travel arrangements, coordinating events, holiday mailings, submitting expense reports, event scheduling, etc. * Other duties as assigned. * Responsible for Office Management, e.g., ordering supplies, keeping office organized, maintain vendor contracts Essential Skills & Experience: * Bachelor's degree from a four-year college or university; and related experience and/or training; or equivalent combination of education and experience. * Minimum of 2 years experience in the administrative function and related business experience. * Proficient in Excel, Word and Outlook.
