The Bookkeeper/Office Manager position is a multi-faceted role combining bookkeeping, office administration, client management and a pinch of human resources; perfect for an individual who wants to be integral in growing a small business. A successful candidate will be self-motivated, autonomous, meticulous with details and personally invested in the success of our company. Essential Responsibilities ? Bookkeeping ? Monthly bookkeeping and reconciliation with QuickBooks Online ? Prepare, send, pay and oversee all bills, invoices, A/Rs and A/Ps ? Distributor deduction management, research and disputes ? Prepare monthly broker commission reports ? Track, review and report on sales data ? Ensure accurate and timely monthly, quarterly and year end reports are completed ? Collaborate with CPAs to ensure all financial reporting deadlines are met ? Develop procedure checklists ? Office Administration ? Monitor and analyze operations to develop more efficient procedures and use of resources ? Create and maintain various databases; data entry as needed ? Maintain scheduling and event calendars ? Order and dispense supplies ? Light marketing tasks such as including social media content, email blasts, thank you notes Client Management/Human Resources ? Manage client relationships through all stages of the client life-cycle ? Phone and email communications; answer client questions; respond to concerns; receive and distribute messages to the appropriate parties ? Schedule and confirm meetings ? Follow-up with clients after initial contact ? Point of contact for independent contractors ? Review and approve independent contractor hours ? Field employee HR questions and requests and work with 3rd party HR firm to resolve


Qualifications: Bacherlor's Degree Preferred QuickBooks, Accounts Payable, Payroll, Bank Reconciliations

Job Description To work closely with the Front Office Manager and night staff to ensure maximum Front Office operating efficiency. Responsibilities * Ensure registration cards are completed * Ensure all needed reports are run * Prepare thoroughly for stand-up meetings * Assist in continued training and development with all associates, knowing and understanding each role within the department * Communicate with all department managers on continuing basis, especially the communication with Night Audit each evening/morning * Handle all guest complaints maintaining a satisfactory impression with the guest on resolving any complaints * Be very familiar with the hotel computer system for training maintenance and trouble shooting (including Synergy, Epitome and Go Concierge) * Complete weekly supply inventories to ensure adequate pars of necessary items * Complete rate discrepancy report and make needed changes * Block/assign applicable arrivals for the following day; i.e. V.I.P.'s, ESP's, Special Requests, etc in absence of rooms controller * Control rooms inventories ensuring to never exceed (-10) in any room type * Complete check-out with balance report * Complete hotel ledger daily * Adhere to all SOPs of the Front Office and appropriate areas of responsibilities * Assure knowledge and training of Marketing Programs of company and hotel * Complete month end accounting procedures * Understand emergency procedures and fire panel training * Perform any other tasks assigned by management * Must adhere to hotel privacy standards per corporate policies * Drive hotel shuttle & valet vehicles as defined by the needs of the hotel and/or in absence of guest service team members * Participates and assist in Local Market Leadership events * Participate in Manager on Duty (MOD) and Lobby Leader program * Must be able to run/walk up 14 flights of stairs in emergency situations * Must be able to run/walk up 14 flights of stairs in emergency situations * May be required to work 7-10 days consecutively as defined by the needs of the hotel * Move, bend, lift, carry, push, pull, and place objects weighing up to 30 pounds without assistance. Stand, walk, or sit for an extended period or for an entire work shift * Standing/walking 8+ hours per day Qualifications * Previous supervisory hotel experience is strongly preferred * Previous Hotel experience required * Customer service oriented, ability to multi-task, detail orientation, and excellent organizational skills needed * Four year college degree preferred, preferably in the hospitality industry * Knowledge of Property Management Systems and related computer programs * Strong knowledge of Microsoft Office Software * Must be 21 years of age or older * Must have a valid Texas driver's license, have a clean driving record, and pass a drug screen * Must be able to work approximately 50 hours per week, flexible shifts, including weekends and holidays * Must be able to maintain a 4-diamond level of service Omni Hotels & Resorts is an equal opportunity employer.
