The UC Davis School of Law is consistently ranked among the premier law schools in the United States overall and in terms of faculty and student quality and diversity. The school has nearly 600 Juris Doctor (JD) students enrolled in the full-time 3-year program, as well as a LL.M Program, certificates in Public Service Law, Business Law, Criminal Law, Environmental Law, Immigration Law, Intellectual Property Law and Tax Law, and Joint Degree programs, including JD/MBA, and JD/MA.

The budget for the Law School exceeds $40 million including state funds, tuition and professional fee revenue, gifts and endowments. Current market value of endowments exceeds $12 million. School facilities include 60,000 square feet in 3 buildings. The School has 40 active faculty and more than 100 staff.

This position shares responsibility of providing faculty support with two other staff members that back each other up during absences and peak workload periods.

Job Summary

Under general supervision, provide high level of administrative, academic and technical support to professors, lecturers, emeriti faculty, Office of the Deans, and faculty recruitment Chair on matters that are sensitive or complex in nature.

Performs administrative support functions critical to the successful operation of academic curriculum activities, assist faculty in the areas of research, publications, coursework, exams, and the faculty academic personnel recruit program. Acts as primary contact responding to inquiries (managing phone, email, correspondence, etc.), assures follow-up to facilitate communications, as well as manage complex calendars, prepares itineraries, and materials for courses, meetings and presentations; coordinates travel arrangements and associated travel and entertainment reimbursements. Coordinate the departmental updates of New/Visiting Lecturers and Professor orientation materials and facilitate the orientation presentation. Provide technical support with class video editing, publishing and distribution. Apply problem-solving skills to resolve various matters; exercise judgment and discretion in handling sensitive, confidential issues.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Administrative experience with academic personnel or instructional support processes in a higher education setting or in complex, high-level executive offices.

  • Experience with planning and/or execution of recruitment or catered events, online scheduling of meetings and travel arrangements.

  • Experience reading, interpreting and applying policies and procedures in a work environment. Ability to explain school policies and procedures to faculty and students.

Minimum Knowledge, Skills, and Abilities (KSA):

  • Skills in writing, editing and proofreading complex articles/books/manuscripts, reports, and a variety of general correspondence.

  • Computer skills and proficiency using database, spreadsheet, word processing, email, and other software such as Microsoft Word, Excel, PowerPoint, to create, format, and edit documents and spreadsheets containing data, calculated formulas, graphs and tables.

  • Oral, written communication and interpersonal skills to communicate and interact professionally with administration, faculty, staff, students and the public, using tact diplomacy, and good judgment.

  • Problem solving skills to develop creative solutions to general problems, initiative to attempt unfamiliar projects/assignments, and respond with flexibility to requests for assistance.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:

  • Organizational experience and skills to effectively manage multiple assignments and shifting priorities to meet deadlines and maintain a high level of productivity and efficiency.

  • Experience with curriculum/instruction support of academic programs, campus and legal systems such as Smart Site, AggieTravel, Banner, Lexis-Nexis, Westlaw.

Preferred Knowledge, Skills, and Abilities (KSA):

  • Knowledge of University policies and procedures related to academic personnel. Knowledge School of Law instruction activities, policies and procedures.

  • Problem solving skills to research and analyze complex and differing information to make recommendations for decision-making.
