BASIC PURPOSE:

The primary responsibility of the Billing Supervisor is to supervise the day to day operations within the billing department, including supervision of the staff and performance reviews

ESSENTIAL FUNCTIONS:

  • Hire, train, coach, and manage members of the billing team

  • Ensure team has appropriate backup to maintain timely billing SLAs and processes

  • Provide day to day guidance and direction to the billing team members

  • Manage and hold the team members accountable to their individual SLAs

  • Manage the inquiries and production requests to ensure the team is able to support the business needs within a reasonable time period

  • Review and sign off on all SOX or Key controls for the billing department

  • Interact on a daily basis with other Shared Service departments on issues surrounding daily operations of the departments

  • Implement new processes/tasks within the team

  • All other duties as assigned

  • Proficiency with the necessary applications to assist the team in performing the day to day functions

  • Ability to communicate with people effectively, resolve conflict, and to discipline when necessary

  • Able to effectively assign task responsibility and authority to others while being able to manage to the deliverables

  • Good written and verbal communication to direct the activities of the team

  • Ability to make decisions and find alternative solutions to problems

  • Monitoring/Assessing performance of others to make improvements or take corrective action

  • Strong organization skills, including balancing multiple responsibilities and effectively meeting deadlines

  • Strong business acumen with understanding of organization and various functions

  • Good understanding of payroll/billing process flow for a staffing organization

REPORTING RELATIONSHIPS:

  • Reports to the Director, Billing

  • May have direct reports

QUALIFICATIONS:

  • High School diploma w/ some college
  • 2+ years working within a Shared Services environment

The Billing Specialist will also research and resolve all provider and client inquiries in a timely and customer-focused manner.</p><p>ESSENTIAL FUNCTIONS:</p><ul><li><p>The primary function is to take ownership of the error free completion of the entire weekly bill cycle to include:</p></li><li><p>Invoicing all customers, based on customers' billing cycle, for all hours worked and all other revenue including travel, bonus, and housing subsidies</p></li><li><p>Accurate and timely processing of all adjustments (debits and credits), initiated by either external (client-related) or internal (Shared Services) requests</p></li><li><p>Timely research and resolution of all billing inquiries to the assigned mailboxes utilizing the highest level of customer service</p></li><li><p>Ensure accurate completion of all special billing for appropriate clients, including maintaining exception billing list for designated customers</p></li><li><p>Become familiar with the processing of other types of invoicing as needed (i.e. Fee based billing, RPO or Perm Placement)</p></li><li><p>Responsible to maintain all necessary documentation for processing cycle; included but not limited to emailed invoices, reports, etc.</p></li><li><p>Perform all necessary SOX and Internal Key Controls</p></li><li><p>Audit all timesheet and expenses</p></li><li><p>Responsible for distribution of all invoices in accordance with customer requests</p></li><li><p>All other duties as assigned with or without accommodation</p></li><li><p>Knowledge and understanding of timecard system used by Payroll and its impact on client billing.
