As a Billing Supervisorat firm, you will be responsible for supervising the daily operations of the Billing department and ensuring compliance with all policies and procedures of the firm. You will oversee and support all billing services for the office, while accomplishing these and other critical functions:

  • Supervising, training, and coaching the Billing staff and leading them in their professional development endeavors.
  • Making recommendations to the Accounting Manager, Billing Manager and Human Resources department with hiring, training, counseling, and disciplining departmental employees.
  • Collaborating with the Billing Manager in the performance evaluation for departmental employees and performance improvement recommendations.
  • Supervising and coordinating work activities, work flow, and daily functions of the Billing staff.
  • Ensuring goals and objectives of the department are met, providing accurate and timely completion of assignments and inquiry responses, and ensuring that all tasks and duties completed are done within the firms set guidelines and policies.
  • Coordinating and ensuring the completion of annual and monthly activities, including quarterly inventory campaigns, year-end collections and inventory management, e-billing coordination, and all other high priority and time-sensitive activities.
  • Participating in routine calls and conferences with partners and management on financial inventory.
  • Working with billing attorneys, secretarial staff and clients to review, prepare, finalize and send invoices in compliance with client requirements and firm policies.
  • Reviewing, investigating, and resolving problems encountered by Billing staff.
  • Managing billing completion percentages and ensuring timely billing of inventory.
  • Preparing and/or analyzing client budgets, schedules, or statements. These may include but are not limited to payment/billing schedules, accruals and client account analysis.
  • Advising the department regarding billing procedures and policies, and acting as point of contact for questions or concerns in the Billing department.
  • Assisting the Accounting Manager by designing and creating financial spreadsheets and reports for administration and for various firm committees.
  • Completing special projects on various topics as needed.
  • Promoting effective work practices and works as a team member.

As a Billing Supervisor, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude. The successful Billing Supervisormust have well-developed and professional interpersonal skills, the ability to interact effectively with people at all organizational levels of the firm, and excellent leadership skills (i.e., organizing, planning, problem-solving and decision-making) necessary for effective supervision. The ideal candidate must possess the ability to work in a team environment with a customer service focus. The Billing Supervisor must have thorough knowledge of complex accounting principles and bookkeeping procedures such as posting, balancing, debits and credits, and journal entries; the ability to proofread work of others to ensure compliance and accuracy; and the ability to perform mathematical functions such as calculating ratios, and knowledge of algebraic formulas. The ideal candidate must possess the analytical skills needed to correctly comprehend and communicate data and analyze and reconcile accounts, as well as the organizational skills needed to manage time well, prioritize effectively, and handle multiple deadlines. The Billing Supervisor must have the ability to use independent judgment and discretion when making majority of decisions, as well as the ability to handle confidential and sensitive information with the appropriate discretion. The ideal candidate must possess knowledge and proficiency in PC Applications, including spreadsheet software and operations, ability to set-up complex mathematical formulas in Excel spreadsheets. Knowledge of 3E and Elite are a plus, as well as knowing the ten-key by touch.

You will be responsible for providing guidance and training to the team and ensuring the uniformity of the processes across the group. In addition to maintaining your own portfolio of clients you will be responsible for the management of a team of billing associates. This positions report to the GCI Group Billing Manager.</p><p><strong>What you will do…</strong></p><ul><li>Perform billing and budget tracking for assigned portfolio of clients</li><li>Be the first point of contact for issue escalations for your team of billing associates</li><li>Plan and implement quality assurance for all processes, make recommendations for improvement</li><li>Be a strategic partner to client teams, GCI Group Billing Manager, SVP of Client Finance, and Controller</li><li>Train and evaluate employees to enhance their performance, development, and work product.
