As a Billing Supervisorat firm, you will be responsible for supervising the daily operations of the Billing department and ensuring compliance with all policies and procedures of the firm. You will oversee and support all billing services for the office, while accomplishing these and other critical functions:

  • Supervising, training, and coaching the Billing staff and leading them in their professional development endeavors.
  • Making recommendations to the Accounting Manager, Billing Manager and Human Resources department with hiring, training, counseling, and disciplining departmental employees.
  • Collaborating with the Billing Manager in the performance evaluation for departmental employees and performance improvement recommendations.
  • Supervising and coordinating work activities, work flow, and daily functions of the Billing staff.
  • Ensuring goals and objectives of the department are met, providing accurate and timely completion of assignments and inquiry responses, and ensuring that all tasks and duties completed are done within the firms set guidelines and policies.
  • Coordinating and ensuring the completion of annual and monthly activities, including quarterly inventory campaigns, year-end collections and inventory management, e-billing coordination, and all other high priority and time-sensitive activities.
  • Participating in routine calls and conferences with partners and management on financial inventory.
  • Working with billing attorneys, secretarial staff and clients to review, prepare, finalize and send invoices in compliance with client requirements and firm policies.
  • Reviewing, investigating, and resolving problems encountered by Billing staff.
  • Managing billing completion percentages and ensuring timely billing of inventory.
  • Preparing and/or analyzing client budgets, schedules, or statements. These may include but are not limited to payment/billing schedules, accruals and client account analysis.
  • Advising the department regarding billing procedures and policies, and acting as point of contact for questions or concerns in the Billing department.
  • Assisting the Accounting Manager by designing and creating financial spreadsheets and reports for administration and for various firm committees.
  • Completing special projects on various topics as needed.
  • Promoting effective work practices and works as a team member.

As a Billing Supervisor, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude. The successful Billing Supervisormust have well-developed and professional interpersonal skills, the ability to interact effectively with people at all organizational levels of the firm, and excellent leadership skills (i.e., organizing, planning, problem-solving and decision-making) necessary for effective supervision. The ideal candidate must possess the ability to work in a team environment with a customer service focus. The Billing Supervisor must have thorough knowledge of complex accounting principles and bookkeeping procedures such as posting, balancing, debits and credits, and journal entries; the ability to proofread work of others to ensure compliance and accuracy; and the ability to perform mathematical functions such as calculating ratios, and knowledge of algebraic formulas. The ideal candidate must possess the analytical skills needed to correctly comprehend and communicate data and analyze and reconcile accounts, as well as the organizational skills needed to manage time well, prioritize effectively, and handle multiple deadlines. The Billing Supervisor must have the ability to use independent judgment and discretion when making majority of decisions, as well as the ability to handle confidential and sensitive information with the appropriate discretion. The ideal candidate must possess knowledge and proficiency in PC Applications, including spreadsheet software and operations, ability to set-up complex mathematical formulas in Excel spreadsheets. Knowledge of 3E and Elite are a plus, as well as knowing the ten-key by touch.

The ideal candidate thrives in a fast-paced environment and works closely with our team to manage forecasting, invoicing and accounting.</p><p><strong>Preferred skills and experience include:</strong></p><ul><li>Previous career experience in a public relations, marketing or other creative agency, professional services firm or other client-facing business.</li><li>Knowledge of the CORE BQE accounting platform (consultant time and expense tracking, project management and billing/invoicing, accounts receivable management).</li><li>Experience with Quickbooks Online and a strong competency for Microsoft Excel, Google Sheets, PowerPoint and Google Slides.</li></ul><p><strong>Time + Location</strong></p><ul><li>Full time position with benefits</li><li>Remote with periodic in-person meetings at our New York office</li></ul><p><strong>Requirements</strong></p><p><strong>Key Responsibilities</strong></p><p>Financial Planning + Analysis</p><ul><li>Provide financial management including oversight of revenue recognition, financial reporting, forecasting, process compliance</li><li>Serves as firm’s primary finance reporting liaison with our outside accountants and bookkeepers</li><li>Manage and facilitate the monthly financial close process in coordination with our outside bookkeeper</li><li>Review and verify financial and transactions entries by bookkeeper to ensure they are appropriately coded and tracked</li><li>Manage CORE/BQE Accounting and Time Management Platform:<ul><li>Create and reconcile invoices in CORE</li><li>Run and review reports in CORE to assist in data reporting and analysis</li></ul></li><li>Coordinate and review quarterly expense and revenue forecasts as well as annual budgets</li><li>Analyze financial trends to aid executive leadership team in hiring, financial planning for key investment areas</li><li>Maintains financial records for firm clients and partners</li><li>Maintain catalog of required client reporting and ensure timely completion</li><li>Review monthly fee and expense detail</li><li>Analyze monthly financial statements for accuracy and explain significant variances to budget or forecast</li></ul><p>Reporting</p><ul><li>Manage and own operating model in order to track revenue and expenses against forecast and budget, and accounts receivable</li><li>Calculate and evaluate financial metrics based on monthly financial data</li><li>Provide executive leadership team with quarterly financial package describing results to date, forward projections compared to budget and commentary around noticeable trends</li><li>Prepare quarterly financial presentations for review with the leadership team</li></ul><p>Management + Collaboration</p><ul><li>Work closely with team leadership on annual firm operating budgets</li><li>Support team counselors on preparing, verifying and sending client invoices and reviewing and updating client budget trackers</li><li>Partner with account teams in pricing client proposals, responding to Requests for Proposals/Information and developing budgets (with oversight)</li><li>Facilitate negotiation of client and vendor contracts between clients/vendors, account staff/senior management and legal department, including full review of all business terms (with oversight)</li><li>Train account staff on internal finance systems, procedures and financial project management</li><li>Review and identify opportunities or areas for improvements to account staff and management (client profitability, utilization, over/under service, missing time, revenue risk and staffing plans)</li><li>Work with account teams to prepare staffing and revenue plan</li><li>Review time and expense write-offs and unbilled time/fees (WIP)</li></ul><p><strong>Skills and Attributes</strong></p><ul><li>Minimum of 3-5 years of professional services client finance experience</li><li>Professional services industry/creative agency experience preferred</li><li>Well-organized with strong time management skills and attention to detail, follows through on multiple projects and juggles conflicting priorities in a fast-paced environment</li><li>Ability to clearly communicate and professionally manage questions/inquiries from across account teams, clients, accountants and bookkeepers and partners</li><li>Strong financial analysis and management skills; good business acumen</li><li>Ability to articulate financial concepts in layman’s terms</li><li>Self-starter who takes initiative</li><li>Advanced Excel skills and comfortable in Google environment (Google Sheets, Slides)</li><li>Excellent written, oral and interpersonal communication skills</li><li>Client service oriented and fosters positive working relationships</li><li>Committed to continuous learning and building your technical and leadership skills through training</li></ul><p><strong>Base Salary Range:</strong> $65,000-$95,000 annually</p><p><strong>Benefits</strong></p><p>We reward hard work with competitive compensation and great benefits.
