The Billing Supervisor is responsible for providing program leadership, and the oversight of all functions related to invoicing different service lines.

Key Responsibilities:

  • Monitor daily activities related to billing functions, identify and address areas for service improvements. Generate productivity and timeliness reports for employees;

  • Assist in hiring, training, monitoring and day to day management, and performance evaluations of billers. Substitute for sick or vacationing billers when necessary. Schedule vacations for team;

  • Communicate effectively with field management and sales concerning billing and translate the impact of established department policies and procedures;

  • Train billers on service lines, systems and procedures. Review all audit issues and retrain billers as needed to avoid recurrence;

  • Identify and implement ways to streamline and improve billing process. Work with MIS to identify solutions to system issues and present ideas for enhancements. Constantly monitor system speed and integrity and report issues;

  • Performs other duties and tasks as assigned from time to time by management and will be required by the needs of the Clean Harbors business

Reporting directly to the Billing Manager the activities and duties of the Supervisor are primarily engaged in the follow up of outstanding claim invoices, interacting with insurance companies on appeal of inappropriately denied services, and response to patient inquiries (both written and verbal) regarding their bills. Due to the senior nature of this position the position is expected to assist management with identifying and fixing systemic billing issues resulting in denials or underpayment. This position will supervise staff and is expected to be a resource for all staff. Also, this position must be able to handle complex billing situations and can correctly adjudicate these claims. * Responsible for daily management of accounts receivable process and follow-up. Daily management of accounts in EPIC work queues. The Supervisor will evaluate progress of work, accuracy, and quality is used to help set benchmarks. Evaluation of work includes quantity of accounts worked daily, accuracy of detail and documentation of work done. This includes screening and correcting of claims for accuracy. * Review, correction and completion of edit lists for the insurance(s) assigned. This requires the employee to be diligent and take the initiative to ensure the entire patient account is corrected, not just the invoice(s) on the list to be corrected. * Follow-up on pending claims. The employee is expected to call the insurance company, document their findings and gather and send the necessary documentation to process or appeal the claims. Meetings to be scheduled for ongoing communication in writing and verbally to Manager and Director of Revenue for all claim issues that would impact the collections. * Appeals. Once a claim is denied and an appeal is deemed appropriate, appeals are to be completed in a timely and efficient basis to avoid the filing limit denials. It is expected of the employee to have the knowledge of what can be appealed and what cannot be appealed. This includes gathering the information necessary to process the appeal accurately. Such as finding the correct diagnoses or procedure code, pulling of documentation, EOB's, and medical records. The employee needs to have a clear understanding of the entire appeals process from start to finish and can work effectively with Brigham and Women's Physician Organization (BWPO) Billing staff members and to document all activity on the patient/claim invoice. * Customer Service calls. Each employee is responsible for handling customer service calls, both from patients and other internal employees. The Supervisor must demonstrate excellent customer service skills, i.e. Listening, problem solving, professionalism, etc. If unable to resolve, he/she must be able to appropriately escalate the issue. Complete documentation of the call must be kept. * Projects. When asked to do a project, it is required to complete the project within the specified time frame. Supervisor is responsible to gather and compile information relevant to the project, log the findings and a final documented report for Management. * Supervisor is expected to respect his or her co-workers and Management. All employees must possess good interpersonal skills and demonstrate team work with all levels of our organization. * Each employee must possess excellent organizational skills. When asked questions by Management, each employee is expected to have the knowledge and detail or know how to obtain it. * Each employee is expected to adhere to the rules and regulations of the BWPO and BWH. * Each employee must demonstrate initiative, independence, and a willingness to learn new tasks. Due to the senior nature of this position the staff must be able to work with minimal direction. * Must be able to work as a team and collaborate and contribute to solving problems. * Other duties as assigned. * High school degree * Thorough knowledge of physician third party billing, collections and reimbursements * Knowledge of multi-specialty services * History of supervising others in a medical or billing environment * Minimum of ten years' experience in a health care environment preferred; 5 years' experience required * EPIC knowledge preferred * Excellent organizational skills * Ability to communicate at all levels * Strong PC skills * Ability to train/teach others Wentworth-Douglass Hospital Norwell MA
