This is a full time position located at one of Cascadia's outpatient Health Centers in NE Portland.
The schedule is typically Monday - Friday, day time business hours.
Under Close Supervision the Billing Coordinator is responsible for the day to day billing functions for the Outpatient sites, while supporting a trauma-informed care environment.
With the high prevalence of trauma among individuals receiving mental health services, it is required the Office Coordinator understand the effects of trauma on health, coping, and other aspects of lives of those we serve.
The position involves all aspect of billing tasks to ensure that the program and/or site functions within Cascadia policy and procedures.

Responsibilities:

  • Manage billing process to ensure accurate and timely billing data.

  • Work and complete Daily/Weekly EMR reports to ensure all billable services are paid.
    Maintain authorizations; SIM database, MMIS, Phtech and Crisis service database.

  • Manage report generation and communicate report problems to appropriate department or program; assist with the review of reports problems including accuracy of data.

  • Document and maintain electronic health record (EHR) and ancillary records in a manner that assures compliance with all agency policies, program procedures and local, state, and federal regulations.
    Maintain accurate and up-to-date documentation as required, associated with billing, assessment, treatment, residents' progress and other activities.

  • Coordinate Quality Assurance Activities within a program or site including chart reviews and special meetings; communicate results to management and monitor any particular concerns or issues that have been noted.

  • Provide administrative support for Electronic Health Records (EHR) functions that are used by all administrative staff at the site.

  • Self-monitor proficiency regarding paperwork and knowledge of Cascadia policy and procedures.

  • Provide administrative support for referral coordination and intake for the associated program and /or site.

  • Maintain philosophy, mission, and best practices of Cascadia and associated clinical program.
    Communicate effectively and provide leadership to staff, clients and the general public by telephone, e-mail and in person.

  • Adhere to mandatory abuse reporting laws and HIPAA requirements.

  • Demonstrate responsibility for safety of clients, staff and property; is familiar with fire regulations and evacuation procedures

  • Manage multiple tasks in a office environment and organize and prioritize workload.

  • Maintain office equipment including fax, copier, printer and computers.

  • Analyze problems and develop creative solutions.

  • Coordinate complex systems issues for multiple sites and or programs.

  • Maintenance of outgoing records within HIPPA guidelines.
    Role Specific

    Responsibilities:
  • Provide supportive environment to clinical and administrative staff and programs.

  • As requested by the Operations Supervisor, may provide leadership to the Administrative Support Team with temporary lead responsibilities.
    These include answering day to day operational questions, assisting with administrative tasks, and providing assistance on coverage issues.

  • Provide back up for the Office Specialist positions as needed Secondary

    Responsibilities:
  • Complete annual employee training requirements on a timely basis as indicated in the licensing requirements for the facility as well as agency requirements.
    Attend seminars, training and other educational opportunities in order to develop professional skills and abilities.

  • Participate in all scheduled staff meetings, supervision sessions, and other departmental and agency meetings.

  • Perform other duties as assigned.
    Experience: The incumbent must have a high school diploma/GED and a minimum of five years of work experience in an office setting, or demonstrated ability to do the job.
    Specialized Knowledge, Skills and Abilities:

  • Type 50 wpm

  • Proficiency in computer hardware and software at a level to effectively perform the job functions, including entering and retrieving data

  • Familiarity with basic office equipment, i.e., fax machines, printers, copiers

  • Advanced skills with PC systems, including MS Windows, MS Word and MS Excel preferred
