The Billing Assistant in our Oil Lab performs a variety of administrative functions including all billing duties associated with Laboratory Services. This position requires strong organizational skills, attention to detail and the ability to multitask.
The position is responsible for entering vendor invoices against jobs and producing customer billings invoices in accordance with Company practices. She/he performs responsibly as directed, achieving desired results within expected department turn-around times and with a high degree of accuracy quality and professionalism. She/he must demonstrate good active listening skills, and professional communication skills as well as the ability to work independently and as part of a team in a fast-paced environment.
Essential functions and key responsibilities:
Accurate order entry of sales orders time sensitive due to daily goals and review of daily bookings; ensuring all information to generate the bill is accurate.
Review accuracy of invoices prior to submission by performing various checks before finalizing bill/invoice to send to customers.
Investigate and resolve billing discrepancies.
Communicate effectively within the company in order to resolve client inquiries.
Develop positive relationships while maintaining customer standards with a focus on problem solving
Assist with projects as assigned by manager
Associate degree (Accounting preferred), and/or equivalent work experience.
1 - 2 years of work experience, previous experience in a medical, pharmaceutical, or fast paced setting is a plus
Ability to apply analytical thinking to solve problems.
Ability to understand complex billing.
Proven aptitude for working with numbers.
Ability to key numerical data accurately and thoroughly
High attention to detail and conscientious approach to delivering high quality results
Proficient in Microsoft Applications: Word, Excel, and Outlook.
Punctual, reliable and responsible with a strong work ethic.
Strong written and verbal communication skills.
Ability to work productively and effectively in a team setting.
Ability to prioritize and manage multiple responsibilities
Client service focus and ability to employ a flexible, positive attitude.
Focused on process improvement and achieving team and Company goals.
While performing the duties of this job the employee is often required to sit, use computers, read, write, type, use fax machines, use copy machines, file paperwork, use telephones and utilize written and oral communication to interact with clients and co-workers.
