Job Description:

Our team of providers and staff are committed to providing, promoting, and supporting services that integrate individual health, education for health, prevention of disease, clinical treatment for illness, and public health responsibilities consistent with the educational mission of the university. This position is responsible for billing and coding insurance claim processes, including the monitoring of ICD-10 and CPT codes for accuracy.

The Coordinator assists Gallagher Student Health with Student Health Insurance Plan (SHIP) enrollment and waiver processes. The Coordinator should have a deep appreciation for the collaborative care model and advancing the divisional priorities of quality, access and inclusion, and mattering and belonging, cultivating a working relationship with Our Lady of the Lake Health.

Job Responsibilities:

Direct Student Support

  • 35%

Communicate with insurance companies or billing vendor (currently, Our Lady of the Lake, Labcorp and i3 Healthcare Solutions, formerly Acadiana Computer Systems) to ensure claims are received, refile rejected or denied claims and resolve claim discrepancies. Investigate billing discrepancies, insurance clarification requests and/or disputes and communicate updates and/or resolution to provider and patent appropriately and timely.

Assist patients with understanding their insurance coverage, navigating the claims or appeals process, and interpreting their Explanation of Benefits (EOB). Act as LSU SHIP advocate and liaison for patients and providers including but not limited to: referral management and assistance, dispute resolution and enrollment. Follow up with patients who receive financial estimates for services already included in the SHC semester fee. Assist patients in navigating the insurance waiver requirement and financial assistance processes.

Quality Control/Improvement

Maintain strong knowledge of basic medical terminology in addition to current insurance regulations and billing procedures. Review/scrub tickets as they present for appropriate diagnosis and procedure codes, researching medical records when necessary.

Assign diagnosis pointer sequence on patient tickets or insurance claims as they present. Collaborate with staff members to ensure proper documentation and coding for billable medical or psychiatric services as needed for claim completion or resolution. Conduct ticket and chart note audits.

Facilitate provider and support staff coding education and assistance. Serve as the Student Health Center (SHC) HIPAA Privacy Officer, duties include but not limited to: overseeing patient privacy policies, investigating privacy complaints and updating privacy policies in accordance with current laws.. Review SHC policies related to insurance billing and HIPAA annually, at minimum, and educate staff about changes appropriately and timely. Maintain patient confidentiality and a working knowledge of all relevant SHC policies and procedures, including but not limited to the eligibility policy.

Collaborate with SHC Unit Heads to develop and maintain high standards of care. Serve on the QI Committee. Select, implement and analyze data for QI studies and initiatives.

Front Desk Support

Maintain accuracy of patient demographics, contact and insurance information, and filing status by verifying this information at each patient encounter. Collect and review all patient insurance information needed to complete the benefit verification process.

Assist in verifying patient eligibility and benefits as needed upon check-in. Secure demographic information on new patients and generate Electronic Health Record (EHR) via data entry in Practice Management program. Ensure required/applicable forms are presented, explained and completed correctly to finalize check-in process.

Accurately collect and post co-pays and other appropriate fees at check-in by recording cash, check and credit card transactions. Check out patients and schedule follow-up appointments, if applicable. Perform daily cash reconciliation of individual till.

Administrative Support

  • 10%

Oversee provider/nurse on-boarding and off-boarding with LSU SHIP. Review and update the insurance and billing details on the departmental website.

Upload list submitted by the Bursar's Office to Gallagher Student Health (current SHIP vendor) and the SHC share drive as appropriate. Oversee invoices and correspondence system for accounts receivable changes sent to attorney offices or insurance companies/auditors/disability determinations, for medical records copies and/or physician depositions. Investigate past due invoices to generate revenue and reduce number of unpaid and outstanding accounts. Manage the SHC Insurance email account.

Other Duties

Other duties as assigned by the Executive Director and direct supervisor. This includes but is not limited to efforts that support broad Student Health Center operations, divisional and institutional efforts and other special projects.

Minimum Qualifications:

  • Bachelor's degree with related experience.

Preferred Qualifications:

  • Bachelor's degree with five years of experience.

  • Experience in higher education or college health center.

  • Professional healthcare experience in a capacity related to the duties to be performed.

Preferred Certifications/Licenses:

  • Certified Professional Coder (CPC) or comparable certification

Other Requirements/Expectations:

Due to the nature of the position and/or position responsibilities, this position shall be subject to drug/alcohol testing in accordance with University Policy Statement 67/FASOP HR-04.

This position has access to/directly handles cash. Financial history/credit check required per FASOP HR-04.

In accordance with University Policy Statement 18, this position is considered essential and may be required to report or stay on campus in the event of an emergency or closure.

May be required to work occasional nights and weekends.
