Level Data, a fast growing Kalamazoo-based software-as-a-service company, is in search of a dynamic individual to join our team as a Full-Time Billing and Contract Specialist. This role supports the department manager with accounting responsibilities and duties as a member of the Admin Team. The areas of emphasis include accurate and timely customer billing per contract requirements. Processing sales and contracts, using financial software to accurately bill out services, setting up cycle invoicing records in a timely manner, estimating service renewals, analyzing and clearing contracts, applying credit memos, processing payments, tracking A/R, and completing the aforementioned tasks with a high level of attention to detail, ensuring that all policies and procedures are followed at all times.


  • Plan day / time-management of tasks, activities, and paperwork.
  • Process incoming sales orders and ensure all necessary details are included.
  • Set up computer billing of contracts with a high level of attention to detail.
  • Research billing disputes and determine appropriate actions needed to correct issues.
  • Calculate renewals, prepare Invoices and annual contracts.
  • Make necessary outgoing calls/emails to follow up on A/R.
  • Run and monitor/clear the contract expirations.
  • Bill out services, process credit memos, code commissions.
  • Accurate and timely invoicing of services based on contract terms
  • Setting up billing activity plans in Salesforce, SaasOptics, and Quickbooks online
  • Process checks and credit card payments
  • Process, maintain and/or complete various other duties within the admin department.


Must Haves

  • High school diploma required, College degree desired.
  • Computer experience, and office work with customer service experience.
  • Quickbooks online, G-Suite (Google Docs, Sheets, MS Excel, Word).
  • 2 years of experience in revenue billing, preferably in subscription billing.
  • Highly detail oriented.
  • Strong organization, communication and interpersonal skills.
  • Exceptionally collaborative, flexible and adaptable when working with customers and various teams.
  • Demonstrated knowledge of accounting principles and concepts.
  • Ability to function in accordance with established procedures and Generally Accepted Accounting Principles (GAAP).

Nice to Haves

  • Demonstrated knowledge of Salesforce reporting, SaasOptics contract maintenance, and online Invoicing practices.
  • Revenue recognition with annualized contracts.
  • Experience with Software-as-a-service subscription business
  • Experience with K-12 School Districts as customers

Really Nice to Haves

  • Application administration experience in Salesforce, SaasOptics, and Quickbooks online.
  • Expert in G-Suite Sheets or Excel.
  • Experience with software integrations to/from Salesforce

Location BHG Bronson Healthcare Group Title Physician Credentialing Specialist This is a position with both administrative and professional duties. The Credentialing Enrollment Specialist is responsible for the professional oversight, coordination and implementation of the procedures for credentialing of the healthcare system's employed/contracted physicians and allied health professionals with contracted payors and government agencies. Accurately maintains professional providers' and practice locations, demographics, and other required information in commercial payors' and governmental databases. Responsible for flow of information to internal and external customers so system may accurately bill and receive payment for providers' services; adhere to regulatory compliance requirements, payor requirements, and market professional service and locations. Assignments are planned and executed with minimal supervision in conformance with established policies, regulations and laws. Employees providing direct patient care must demonstrate competencies specific to the population served. Four year degreed program preferred; or graduate of a two-year business school and three years of experience; or equivalent combination of education and experience Certified Provider Credentialing Specialist (CPCS) certification preferred or equivalent work experience with a Payor * Basic PC computer skills, ability to utilize word-processing, spread sheets and other relevant software programs * Analytical and management skills to independently oversee professional credentialing for large healthcare system and to develop and implement methods and procedures for improving and facilitating credentialing processes * Excellent customer service, management, organizational and technical skills required * Possess a strong command of the English language, both written and verbal, in order to communicate effectively and professionally * Cooperative working, leadership and interpersonal skills, and the ability to deal tactfully and courteously with others * Ability to appropriately multi-task and be able to identify and coordinate priorities independently, handle a variety of problems and situations, sometimes of a critical and urgent nature * Professional discretion with sensitive patient, employee, financial and business related matters * Must be able to handle stressful situations in a professional manner, possessing conflict management skills * Must be able to read and understand legal and other regulatory documents * Must have superior working knowledge of various types of computer software programs and office equipment Work which produces high levels of mental/visual fatigue, e.g., interactive and repetitive or small detailed work requiring alertness and concentration for sustained periods of time, the operation of and full attention to a personal computer or CRT between 40 and 70 percent of the time.
