The Opportunity:

The Financial Services Administrator ("Administrator") is an important member of the Local Shared Services team and works closely with office leadership and consulting staff by supporting and participating in billing and collection efforts and helping to ensure that the business is paid promptly for consulting work delivered to clients. The Administrator interacts with consultants and executive staff to resolve billing issues and identify opportunities to improve financial processes and activities that fall within the range of responsibilities defined for this role.

The Administrator works independently and, on a team, under close supervision. The Administrator is continually learning and applying learning on the job. The Administrator contributes input to others, takes responsibility to meeting own commitments and supports a work environment that is committed to being diverse, equitable and inclusive.

Key Responsibilities:

  • Assists financial services team and consulting staff with client billing, time entry adjustments, accounts receivable collection, new business reporting and fee renewals (Notices of Agreements), client matter information (Client Financial Action Forms), report distribution, and the collaboration with staff members to make financial information readily available.

  • Manages the billing system: coordinates internal client billing processes to ensure all procedures are executed accordingly. This includes processing a high volume of invoices, tracking and accounting for all commission revenue payable by our clients. Creates and maintains Excel spreadsheets to track and initiate financial activity is a key responsibility.

  • Handles confidential and sensitive client information in an appropriate manner and brings anomalies to the attention of others in the need to know.

  • Support the team to ensure the timely and accurate completion of assigned work. Demonstrates flexibility and the ability to multi-task and set priorities within a fast-paced environment. Communicates effectively and articulately (both written and verbal). Works well under direction - demonstrating a strong sense of project ownership and commitment to meeting desired project outcomes within defined deadlines.

Key Requirements:

  • Undergraduate degree in Finance, Accounting, Mathematics or in related field, preferred.

  • 0-2 years of experience in a financial-oriented function, involved in administration of relevant financial systems to include coordination of billing processes. Professional service-oriented environment experience is preferred.

  • Proficiency in use of Microsoft Excel, Outlook, Word, PowerPoint (office 2016).

  • Key traits include: effective communication skills (writing and verbal); proofreading and editing skills; organized and detail-oriented; takes initiative to achieve quality outcomes for all own work products; effective interpersonal and rapport building skills (e.g., team player, cooperative and collaborative).
