We are currently seeking a Billing Administrative Assistant to join our dynamic Team for a major Telecommunications Infrastructure Project in the South Seattle Area.

Job Summary

The primary role of the Billing Administrative Assistant is to assist the Area Manager and OPEs with internal tracking of finances and construction documents and process in-house and sub invoices. This role reports directly to the Area Manager and interacts with all levels of the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist in tracking and balancing revenues and expenses for every job generated.

  • Track all internal, subcontractors and pass-through revenue.

  • Track all internal and subcontractor invoices.

  • Daily status reporting on funding

  • Quality Control all internal and subcontractor purchase orders.

  • Quality control all internal and subcontractor invoicing.

  • Regular photocopying and filing of documents.

  • Assist with map mark-ups and as-built drawings.

  • Assists in reviewing all invoices for appropriate documentation and approval prior to payment.

  • Participate in a wide variety of special projects and compile a variety of special reports.

  • Conform with and abide by all regulations, policies, work procedures, and instructions.

  • Special projects- reports, filing, research, etc.

  • May provide backup support and assistance to other staff members

SKILLS/QUALIFICATIONS

  • High school graduate required with some college or trade school preferred.

  • General knowledge of basic accounting rules and procedures required.

  • Proven strong analytic/problem solving/arithmetic skills.

  • Highly organized person and can show planning and processes to support daily work.

  • Proficient with Microsoft Office products (with emphasis on Excel).

  • Experience working with database software.

  • Ability to become proficient with customer "Host Systems" as required.

  • Practical and conceptual thinking as related to project descriptions and needs.

  • Excellent verbal, written, and interpersonal skills.

  • Communicate with co-workers, management, customers and vendors in a courteous and professional manner.

  • Ability to work on multiple projects at once.

  • Ability to work in a fast paced high volume work environment.

  • Dependable, flexibility to work weekends and holidays, as needed.

  • Work independently under minimal supervision.

  • Must be able to sit for prolonged periods of time in front of a computer.

  • Must be able to perform physical activities (lifting heavy equipment up to 25lbs unassisted, bending, standing, climbing, or walking).

We are currently seeking an Senior Contract Administrator to join our dynamic team supporting a major telecommunications infrastructure project. Job Summary: This position uses in-depth skills and knowledge of both commercial and government contract laws and regulations to perform assignments and requires effective application of contract administration processes and procedures. Has responsibility for supporting the change and proposal process for assigned business units. Interfaces with internal and external customers to proactively solve contract issues. Complex commercial and contract administration and management experience with EPC (Engineering, Procurement and Construction) multi-year contracts including IDIQ (indefinite duration, indefinite quantity) engagements. Financial analysis skills are a plus. May be expected to mentor and oversee the efforts of less experienced contract administrators, particularly in the areas of Change Management, Transmittal and Submittal preparation and writing, Intellectual Property, and contract compliance. Primary Duties: * Provide compliance and strategic advice to internal customers regarding proposal efforts and contract negotiations and administration. * Administer standard and non-standard commercial contracts with limited assistance from senior personnel. * Provide proper contract acquisition and fulfillment in accordance with company policies, legal requirements, and customer specifications. * Examine contract administration outputs to ensure accuracy and completeness. * Participate in negotiation favorable contract terms, change order facilitation and management, and conditions including work scope, duration, price, warranty and confidentiality provisions, based on applicable procurement regulations and commercial contracting guidelines. * Interface with internal technical staff and external clients during the initial award negotiation process, the execution phase processes, as well as all contract modification processes. * Pre/Post Award Proposal Process: Prepare and review business proposals for the inclusion of correct business terms and fulfillment of proposal stipulations. Calculate cost of performing work based on raw data. Establish new projects and disseminate the necessary project information to both technical and administrative groups. Ensure adherence to organizational policies and guidelines relating to the submission of proposals and acceptance of agreements. * Post Award/Contract Review: Participate with the negotiation and development of business and legal terms and conditions on behalf of the organization. Document and ensure provisions of the contract in its final form are acceptable to the organization and the customer. * Post Award/ Contract Performance Management: Monitor scope change against contract provisions, support and participate in audit responses, and interface with internal and external customers as appropriate and necessary. Mediate disputes that may arise in order to reach an expedient resolution. * Keep abreast of current government procurement laws and regulations, as well as developments in commercial contract law. May research special compliance/legal topics as required. * Coordinate and oversee the training and activities of other staff members as required by supervisor. Desired Knowledge, Skills, and Abilities: * BS in relevant discipline. * 8 years relevant experience. * In-depth knowledge of procurement and contract law and experience with commercial business principles. * Ability to negotiate favorable contract terms effectively. * Strong business acumen, with demeanor and ability to work comfortably and confidently with senior management. * Strong working knowledge of EPC agreement provisions/terms. * Proven ability to work in a diverse, fast-paced environment with limited supervision; excellent organizational skills and ability to prioritize multiple tasks. * Detail oriented, accurate, and thorough in working with both calculations and text of agreements. * Experience with proposal preparation, contract negotiation, and contract administration. * Demonstrated knowledge of commercial contracting processes, FAR/DFAR, compliance considerations and related accounting practices. * Customer service oriented; effective interpersonal skills to interact and communicate with staff members, other company personnel, clients, and customers. * Efficient with MS Office and other software packages.
