The MAHEC Family Health Center at Enka Candler is seeking a friendly and experienced Bilingual Business Office Coordinator that provides excellent customer service to our MAHEC patients and provides coordination and support within the business office to enhance and maintain consistent work flow, efficiency, and functions of daily business office operations at MAHEC office Enka/Candler in conjunction with RN Clinical Manager and Family Medicine Practice Manager.

Business Office/Daily Operations

  • Welcome/greet patients warmly

  • Coordinate daily business office functions including opening/closing clinic, schedule all appointments and check in/out

  • Communicate routinely with providers and clinical staff in regards to daily schedule.

  • Routinely evaluate business office functions and make recommendations for improvements in efficiency, work flow and/or support.

  • Order and maintain inventory control of all business office supplies.

  • Project Management and coordination in consultation with Practice Manager (QI, PCMH, MU and more)

  • Cross train staff for front desk management/duties

Check In/ Check Out

  • Warmly greet patients, update demographic and insurance information.

  • Collect copays and/or balances due

  • Respond to waiting room and walk-in patient needs

  • Prepare paperwork for patients as they check in (new patient, well child or complete physical).

  • Scan medical records to queue

  • Maintain close surveillance of the patient wait room.

  • Check-out patients and schedule any follow up appointments needed at any location.

  • Balance cash drawer/petty cash and batch receipts

  • Print/portal push clinical summary for all patients

  • Opening & Closing Duties

Scheduling

  • Answer phone lines, schedule, cancel or reschedule appointments as necessary

  • Reconcile all appointments including outreach calls and DNKA management

  • Schedule future appointments for all patient visits including specialized clinics within FHC

  • Manage work queue maintenance for bad address and invalid insurance claims

  • Maintain Enka scheduler inbox for follow up

Education and/or Experience

  • Associate degree, three years relevant experience, or comparable combined education and/or experience required.

  • Previous experience in a medical office/clinical environment required.

Skills, Knowledge, and Abilities

  • Spanish speaking skills required.

  • Knowledge of medical office functions including business office work flows

  • Experience with Electronic Health Records

  • Advanced computer skills as related to working with medical office software program(s)

  • Project management experience strongly preferred.

Schedule

Regular attendance on-site is an essential function of this position.

Typical business hours are Monday

  • Friday, 8:00 am to 5:00 pm

40 hours per workweek; weekend, holiday, or evening coverage is occasionally required. Work hours will need to be flexible in order to respond to special work assignments, or evening activities, as requested.

Provides supervision to ensure practice standards are achieved. SPECIFIC RESPONSIBILITIES: Business Operations * Coordinates with Clinical Operations Director to lead the daily operations of the business office, maximize efficient patient flow and optimizing patient experience * Responsible for ensuring that all business functions are adequately covered on a daily basis. * Acts as point of contact and completes follow through on any customer service problems and/or patient complaints that arise during the course of the day. Escalates problems as appropriate. * Leads interdisciplinary patient experience teams * Completes annual continuous performance review for all staff in all assigned staff. * Provides staff development for front office and scheduling supervisors. * Oversees payroll, ensuring consistency among leaders and reviews adherence to attendance and leave policies * Develops, implements and monitors the success of staff productivity requirements * Coordinate with resident/logistic & faculty coordinators * Reviews phone queue data, provider panels and other reports as needed to make recommendations for improvements in collaboration with Business Analyst * Forecasts appointments access for patients and plans accordingly * Evaluates processes and makes recommendations on changes to enhance quality and efficiency. * Assists in the development and maintenance of policy & procedures and training tools to ensure excellent patient experience. * Assists with front desk functions, including appointment scheduling, insurance verification, patient registration, check in, check out as needed. * Serves as the lead for business operations improvement * In conjunction with Clinical Operations Director and Clinical Manager actively participates in ongoing practice assessment and improvement efforts focused on business operations. * Responsible for the hiring, training and supervision of business office staff. * Orients all new staff to MAHEC's clinical policies and procedures. * Partners with the Talent Management team in a timely manner related with personnel problems and participates in identifying and implementing solutions. * Coordinates cross-training of job functions to maximize staff efficiency. * Develops staff work plans and performance evaluations on an ongoing and timely basis. * Coordinates regular staff meetings with business office staff.
