The CSB Supervisor is accountable for the supervision of the workforce of the Central Service Bureau (CSB) department and area functions in the Hackensack facility with responsibilities for providing quality service to our customers through the daily management of the staff. The supervisor will ensure all clerical, work force management and emergency functions are carried out in accordance with acceptable procedures, provides direction and communication to staff and ensure that customer inquiries are handled in a timely, efficient and professional manner. The incumbent must be influential in creating a customer-centric organization that ensures premier customer satisfaction by delivering high-quality, efficient service and added value. * Develop training and awareness programs. Responsible for coaching and mentoring CSB workforce and call center system reporting. * Responsible for monitoring and delivering required performance feedback to employees. * Must have a strong working knowledge of Company's systems maintenance and Customer Service procedures (both regulated and non-regulated) * Responsible to ensure that all regulatory compliance issues pertaining to proper mark outs are followed. * Oversees and coordinate scheduling for CSB department to ensure that all shifts have appropriate coverage in event of vacation, sick time, personnel time or inclement weather to ensure company operations are maintained. * Oversight of Hackensack Yard security, fire and intrusion alarms. * Ensure all customer (internal and external) inquiries and complaints are handled in a proper and timely manner. * Partner with System Maintenance Manager to ensure departmental goals and objectives are met. * Establish work procedures and processes that support company and departmental standards, procedures and strategies. * Train and develop employees and assist the Manager system maintenance with counseling, evaluation and motivation of staff. Assist employees with customer contact and take an active role in the escalation process to ensure customer resolution and satisfaction. * Responsible for the operation and maintenance of the electronic filing system of the Central Service Bureau. * Monitors and follows-up on inside service leaks and reviews both open and closed CSB investigations daily for accuracy, ensuring that any inaccurate data is corrected and any resulting problems resolved. Will also monitor the data following through CSB relative to active leaks and hydrants out of service and sees that information is properly updated regularly to ensure that CSB personnel are aware of current activity throughout the system. * Updates and maintains CSB computer system manuals as well as updating and revising the procedure manual for CSB. Ensures that all revised office procedures, as agreed upon with system maintenance supervision, are implemented. * Completes special projects or attend meetings as directed by the Manager of System Maintenance e.g., implementation of new Interactive voice recording systems. * This position is also responsible for providing analytical support to the Transmission and Distribution team including collecting, reviewing, and analyzing data from field related activities completed by the Construction and Distribution departments, to include work order backlog, age and priority * Review weekly data entered into the EAMS and address input issues with both the System Maintenance management team and bargaining unit employees. Assure overall quality of data entry to enable useful reports and analysis. * Perform and coordinate user interface and data quality assurance and assist users with EAMS issues. * Create and maintain KPIs (daily, weekly, monthly that track performance and trends: number of calls, calls per employee, average speed of answer, talk time, quantifying types of calls e.g., water quality, emergencies etc.,) and monitor them accordingly to ensure future improvements. * Analyze business processes and user needs to identify opportunities for improvement. From this data, develop and provide training and development to improve staff performance. * Assist the System Maintenance management team in the creation of PowerPoint presentations [MJ1] Required Skills * Expertise with operations and maintenance water distribution systems. * Strong managerial and interpersonal skills. * Strong computer skills and working knowledge of general office and accounting principles. * Strong analytical and statistical skills and the ability to synthesize data insights into relevant, usable, actionable, strategic, and tactical recommendations essential * Working knowledge of the Company's current asset management systems, such as Infor or similar Enterprise Asset Management Systems (EAMS) * Demonstrated leadership skills. * Advanced level experience with Microsoft Excel, Access, and PowerPoint * Must have strong interpersonal and excellent written and verbal communication skills * Ability to interact effectively at all levels (management, bargaining unit employees, regulators, consultants, municipal officials, health officers, customers, contractors, and the general public). * Ability to prioritize and effectively manage different functional areas handling multiple deadlines, small projects, and technically challenging projects Required Experience 3-5 years supervisory experience, preferably in water utility operations Minimum of 3 -5 years supervisory experience in a call center/customer service environment 3+ years of customer service experience analyzing and solving customer problems Expertise working knowledge of asset management systems, CMS and IVR systems.
