Summary of Functions
As a strategic partner, the Assistant GA Manager assists the HR Manager ensuring business objectives align with employees and management goals. This individual will communicate proactively by maintaining a close relationship with their business units to develop and establish integrated HR/GA solutions. This position will supporting the efficient operation of the plant by managing administrative tasks, coordinating between departments, and ensuring compliance with company policies and procedures. Also, this position support HR related task such as employee compensation, performance, training and development, recruitment and employee relations, and implementation of policies and procedures.
Principle Responsibilities
• Assist the Plant Manager with daily administrative tasks and operational responsibilities.
• Manage and organize plant documentation, including production records, safety reports, and compliance documents.
• Coordinate meetings, prepare agendas, take minutes, and follow up on action items.
• Oversee the maintenance of office facilities and equipment.
• Ensure that the office environment is efficient, safe, and conducive to productivity.
• Manage office supplies inventory and place orders as needed.
• Assist in the recruitment process by coordinating interviews and onboarding new hires.
• Maintain employee records and ensure compliance with HR policies and procedures.
• Handle employee inquiries and provide assistance regarding HR-related matters.
• Assist in budgeting and financial reporting by preparing and maintaining financial documents.
• Process invoices, expense reports, and assist with payroll administration.
• Monitor and control administrative expenses.
• Serve as a liaison between different departments within the plant to facilitate smooth communication and collaboration.
• Handle internal and external communications, ensuring timely and accurate dissemination of information.
• Coordinate with vendors, contractors, and external stakeholders as needed.
• Ensure that the plant complies with all relevant health, safety, and environmental regulations.
• Maintain safety records and assist with safety audits and inspections.
• Promote a culture of safety and continuous improvement within the plant.
Qualifications
• Bachelor’s degree in Business Administration, Management, or a related field.
• Minimum of 3-5 years of experience in an administrative or managerial role, preferably in a manufacturing or industrial setting.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
