About the Job
The Dispatch Administrative Assistant will have experience in providing administrative support, knowledge of DOT regulations, be proficient in data entry, computer literacy, and possess excellent customer service and communication skills.
The Dispatch Administrative Assistant will also be responsible for ensuring the Will Call desk is professionally maintained daily as well as assisting in various office tasks for the department including but not limited to: assistance in sales processes, PR/POs processing, answering phones, data entry, scanning and uploading DOT files.
Essential Functions & Major Responsibilities
Create, track and follow through purchase requisitions and purchase orders for the department in SAP
Assist in processing billing for the department including matching invoices to ensure data accuracy between quotes, bill of ladings and sales orders
Assist in maintaining DOT regulated documents and qualifications for all NWP DOT drivers
Assist in monitoring and coordinating dispatch emails
Assist with updating the fleet monitoring system.
Receive will call orders in person, via email and phone
Process will call requests, returns, orders and payments in a timely fashion
Ensure that merchandise received is in accordance with purchase order specifications
Respond to inquiries regarding products and inventories and follow-up on pending orders
Prioritize and perform daily workload assigned by Supervisor
Support the dispatch department as needed
Perform general clerical task and other relevant duties as assigned by the needs of the business
Deliver exceptional customer service

Education/Experience
High School diploma or general education degree (GED)
2-3 years' experience supporting Dispatch/Logistics departments with all aspects of DOT compliance and regulations.
SAP Experience Recommended
Bilingual in English/Spanish is required
