The Benefits Specialist is responsible to provide support to the Benefits department to deliver excellent customer service and ensure compliance with regulatory requirements and time frames. This position involves access to confidential information and requires discretion, attention to detail, and the ability to multi-task. The Benefits Specialist will serve as an employee advocate by addressing questions from participants and HR staff regarding benefit plan regulations, coverage, eligibility, and procedures for ensuring accuracy of benefit enrollments and plan administration.

Responsibilities of Position:

  • Process benefit enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims.

  • Provide support for HSA/FSA account administration. Respond to employee inquiries and prepare correspondence as needed.

  • Oversee maintenance of employee benefit files and updating of employee payroll records.

  • Manage benefits reconciliation process between deductions, payroll and carrier invoices.

  • Monitor applications requiring evidence of insurability and update enrollment records upon approval.

  • Conduct new hire and annual benefit orientation meetings.

  • Develop and provide reporting to vendors as needed.

  • Process medical support orders in accordance with the issuing agency's requirements.

  • Maintain the confidentiality and security of data accessed during daily activities.

  • Must have a complete understanding of all company benefits, company policies and procedures as well as a working knowledge of Federal and State Laws.

  • Monitor new and evolving benefits legislation and provide compliance action recommendations.

  • Prepares metrics related to head count on every leave status per Region.

  • Assist in special projects and additional duties as assigned.

Skills & Abilities Needed for Position:

  • Must be organized and detailed oriented.

  • Must possess a professional demeanor and telephone etiquette, excellent customer service skills to include:

  • Dependability

  • Provide timely and accurate responses. Be present in all interactions.
  • Return all phone and email messages within 24 hours or less.

  • Communication

  • Actively listen to what the employee/manager is saying and understand what they are needing/feeling.
  • Provide a timeline of when you will get back to the employee/manager and keep it or contact the employee/manager within the time frame.

  • Respect

  • Treat others with empathy and compassion.
  • Patience
  • Always be open-minded; willing to see the person's point of view and willing to explore alternative solutions.

Physical Requirements in a Regular workday:

  • Rarely lifting/carrying a max of 10lbs.

  • Rarely pushing/pulling a max of 10lbs.

  • Continuously Sitting in Office Environment.

Additional Working Conditions/Aspects:

  • Ability to travel between offices, as required.

  • Legally eligible to work in the United States.

  • Valid driver's license (if applicable).

  • Must successfully complete pre-employment testing.

  • Must be able to read and speak the English language.
