Benefits Specialist - Leave of Absence

The Benefit Specialist is responsible for the operational administration of employee health and welfare benefit plans including medical, dental, vision, health savings accounts, flexible spending accounts, wellness programs, and the employee assistance program. This role could also have oversight of leave administration.

Responsible for the day-to-day management of vendors, recognizing systems, process and claims issues, researching the issues, recommending a solution and implementing the resolution. Serves as back-up for the administration of life and disability insurance and leave of absence administration.

DUTIES AND RESPONSIBILITIES:

Manages day-to-day LOA vendor relationship including communicating about service issues, compliance issues, plan interpretation and legal compliance for short-term disability leaves, Family and Medical Leave Act leaves, parental leaves, military leaves and personal leaves.

Serves as subject matter expert on all leave of absence related matters and provide counsel to HR colleagues on FMLA provision and solutions for leave issues.

Communicates directly with HR staff about employees on leave ensuring the HR Business Partners and HR Managers know the leave status of all their employees.

Administers health and welfare benefit plans including acting as lead on life and disability plans and acts as secondary support for medical, dental, vision, health savings accounts, flexible spending accounts, wellness programs, the employee assistance program, and voluntary benefits.

Performs entry level qualitative and quantitative analysis on life, disability and leave of absence plan data and employee input to detect issues, gain insight, and make and implement recommendations to improve plan functioning and tactical competitiveness.

Researches questions and issues by reviewing insurance and vendor contracts, plan documents, and summary plan descriptions, consulting internal members of the Benefits team or consulting with external vendors to reach conclusions.

Participates in internal acceptance testing for Workday enhancements and upgrades summarizing and explaining the outcome to the Workday team.

Communicates with vendor representatives to gather information to respond to questions and to stay abreast of process and staff changes.

Provides open enrollment support by editing communication materials, coordinating site meetings, independently facilitating enrollment presentations at various sites across the country, and via on-line presentations.

Drafts and edits employee email communications concerning health and welfare Benefit announcements and works with the Communications department to edit Benefit communications and post them to the Grid.

Acts as back-up in managing the high volume of emails and voice mails in the Benefits email box.

Continuously evaluates, recommends and implements more efficient and effective processes and procedures and ensures all processes and procedures are accurately documented for training and back-up purposes.

Serves as back-up for administration of the medical, dental, vision, health savings accounts, flexible spending accounts, wellness programs, the employee assistance program, and voluntary benefits plans.

Serves as back-up to process monthly invoices for all health and welfare plans working closely with vendors, Procurement and Accounts Payable to ensure processes are as automated and efficient as possible and all invoices are paid in a timely manner.

Performs other duties as assigned.

REQUIRED QUALIFICATIONS:

Bachelor's degree in human resources, business or related area or equivalent experience is preferred.

Minimum of three years of progressive administrative and analytical Benefits experience including end-to-end leave of absence experience.

Excellent analytical ability and attention to detail.

Ability to manage multiple tasks and/or projects simultaneously.

Ability to independently prioritize workload effectively.

Strong customer service orientation.

Ability to handle confidential information with the highest discretion.

Strong problem-solving skills.

Strong verbal and written communication skills including presentation skills.

Ability to be resourceful in finding solutions.

Ability to build credibility with employees and vendors.

MS Office (Excel, Word, & PowerPoint) intermediate skills.

PREFERRED QUALIFICATIONS:

Experience with Workday.

Vendor management experience.

Advanced Excel, Word and Powerpoint skills.
