Responsibilities

LEADERSHIP SUPPORT:

  • Overseeing, maintaining and coordinating complex level calendars and meeting schedules; coordinates campus wide benefits and compensation related seminars;

  • Writing and preparing confidential memos, reports, letters and other documents for final distribution, which includes editing, proofreading, and formatting documents;

  • Maintaining files and material for the AVP HR Benefits and Compensation; sorting and distributing mail for the benefits and compensation team.

CUSTOMER SERVICE SUPPORT:

  • Assists team with responding to ACD calls and benefits mailbox; Conducts new hire orientations; Organizes materials and supports team as needed at events

ASSIGNED ADMINISTRATIVE RESPONSIBILITIES:

  • Preparation of new hire orientation and retiree benefit packets;

  • Organizing and assistance with preparation of materials for the following: Benefits Committee, PRICOM, Trustee reports, Investment Committee, and as needed for other senior leadership meetings at the University;

  • Building and maintaining web pages for the Benefits and Compensation area;

  • Responsible for review and approval of dependent verification coverage benefit coverage;

  • Manages open enrollment fairs requiring: vendor attendance coordination; scheduling; location preparation with facility and system support; material delivery coordination; managing costs within budget

BUDGET MONITORING, ANALYTICS, & REPORTING:

  • Responsible for monitoring the Benefits and Compensation budget and other project budgets aligned to Compensation and Benefits for accuracy. Reporting on a monthly basis against the allocation. Ensures departmental travel and expense activities are aligned to policy and approves with authority from AVP HR Benefits and Compensation.

Qualifications

  • HS Diploma
  • 1-3 years work experience

Preferred Qualifications:

Strong computer skills with Microsoft Office products: Outlook calendar, PowerPoint, Word (mail mergers, brochures, tables, letters, etc.), Excel and Microsoft Project is required. Administrative support experience required. Experience with website maintenance preferred. Experience with PeopleSoft is preferred. Three or more years' experience in the benefits and/or compensation field preferred.

General Overview Reporting to the Supervisor of Physician Compensation, the HR Coordinator is responsible for supporting the Professional Staff Compensation & Benefits Department (PSCB) teams. This role supports a variety of HR support functions, with emphasis on a very intricate onboarding process, and the coordination and execution of a timely exit interview process. The Professional Staff Compensation & Benefits Department is responsible for screening and processing Human Resources/Compensation transactions via Peoplesoft for monthly paid senior management and the professional staff of the MGPO and Partners Residents including MDs, PhDs, Fellows and Residents, from hire through termination. In addition, the department supports IHP, BWPO and BWH professional staff compensation function in varying ways including processing new hires, renewing VISA documentation, and additional employee documentation and support as needed. The Department is also responsible for HR related issues, employee benefits, malpractice and numerous other functions. The HR Coordinator directly interfaces with Peoplesoft managers, ECOR, Physicians and other Professional Staff, Payroll, PHS Records, Medical Staff Office, Privacy Office, Research finance/administration and many others. The Professional Staff Compensation & Benefits Department reviews and processes transactions including new hire paperwork, regular salary payments, salary changes and retroactive adjustments, special payments, bonuses, deferred compensation awards and distributions, recruitment bonus and loan transactions for approximately 8,000 professional staff. The PSCB team also supports employee benefits needs of the MGPO professional staff including retirement, malpractice, deferred compensation, enrollment, changes, etc. The HR Coordinator will support many of these functions in some capacity but the primary focus will be on the onboarding, recordkeeping, and exit interview functions. The HR Coordinator will be trained to provide support for the other HR Coordinator in the compensation office focused on many other compensation functions in addition to the onboarding process. The HR Coordinator is also responsible for front office administration, assisting with malpractice administration and benefits administration. Principal Duties and Responsibilities Support the new hire process: * Create Peoplesoft ID (verify that a record does not currently exist) and distribute to Occupational Health, originating department, Partners International Office and Medical Staff Office kicking off pre-employment drug testing process, VISA process, Medical Staff Office Process, etc. (this is a new process to facilitate pre-employment drug screening). This will occur very early in the onboarding process with skeletal data and projected start date, etc. * Prior to hire, work with department to verify data previously submitted and collect remaining information (salary, job title, funding, start date, etc.) Also, verify: * Drug testing has been successfully completed, * Medical Staff appointment is active, * Initiate HireRight I-9 invitation to new/prospective employee * PostDoc salary minimum is met, ensure that the salary level is within MGPO guidelines, and other screening as appropriate. * Review exception request and elicit details as needed from the department * Summarize the request and submit for review. Support the exit interview process: * Contact physicians who are terminating oEmail a script to terminating physicians inviting him/her to discuss the reason for termination oWork with leadership to refine process, providing continued feedback oCompile data in a meaningful way oAssist with the development of an easy to manage process to solicit and track this data Support the benefits office: * Provide front line customer service support to employees and non-employees visiting our office * Answer all incoming phone calls including calls from employees, managers and outside callers. Direct caller to the appropriate resources. * Support employees who have questions about benefits, PeopleSoft, Employee Self Service and other general HR related services. * Prepare verification letters * Manage inventory of supplies and packets * Back-up for processing HR staff payroll using Kronos * Manages and maintains all onboarding packets * Serves as content expert for I-9 processes for the department * Book conference rooms, files and other administrative tasks * Monitors and maintains compliance with all I-9, E-Verify and HireRight regulations including follow-up regarding HireRight processing. * Assist with the managing of the malpractice program for all clinical professional staff * Assist with processing of physician CRICO paperwork Work closely with Peoplesoft managers, and physicians/professional staff as needed to clarify and resolve issues. Develop and run ad hoc/routine Peoplesoft queries. Liaison with the Human Resources Records Office regarding corrections that may be required. Assist with identification of inaccuracies, inefficiencies, and duplication of effort. Assist with special projects including preparing PowerPoint slides, excel spreadsheets, and other presentation materials, as needed. Provide backup for other team members, including supervisor, as needed. Other duties and projects as assigned. Bachelors Degree strongly preferred Peoplesoft experience desired Skills and Abilities Solid computer skills required, particularly MS Excel and/or Access Well-developed verbal and written communication skills to provide appropriate level of support, communicating issues and resolution to all levels of staff and management. Strong attention to detail Familiarity with federal immigration rules as they apply to work authorization visas, including but not limited to J-1, H-1B, TN. Good understanding of the regulatory I-9 process is helpful. Excellent organizational and problem solving skills Proven ability to prioritize and organize workload Must possess excellent interpersonal skills Ability to contribute as a team player, sharing information in a timely and accurate manner.
