Emplicitys Benefist Administrator performs varied and moderately complex data entry, clerical functions and related duties, supporting the professional services staff and in some cases, clients. Certain duties require independent judgement in the use of work methods or procedures.

Primary/Essential Duties and Key Responsibilities

  • Produce finished documents efficiently using word processing and spreadsheet programs.
  • Independently edit documents making necessary corrections to include spelling and grammar.
  • Maintain confidentiality and security of records in accordance with corporate procedures.
  • Oversee incoming and outgoing mail in accordance with applicable rules and regulations.
  • Communicate effectively with internal staff and clients, respond to verbal/written inquiries and requests.
  • Assist with bidding out and ordering of office supplies and process purchase orders.
  • Assist project managers with new client implementations and client offboarding.
  • Assist with preparation for meetings including, conference room preparation, meal and snack preparation and assisting with lunch or other food orders.
  • Assist with life event changes, newly eligible employees, marriages/births and related dependent verifications as directed by Benefits Specialists.
  • Monitor calls and proactively notify Benefits Specialists of any potential issues.
  • Correspond with benefit carriers to validate benefit coverage and reconciliation of membership discrepancies.
  • Participate in system testing in preparation for Open Enrollment or new life events.
  • Responsible for creating and monitoring client interactions via CRM system.
  • Escalate non-routine inquiries and issues to Benefits Specialist and/or Benefits Manager.
  • Assist with compiling benefits data and prepare reports as directed.
  • Compile maintain and file records for use in employee benefits administration.
  • Maintain and update benefit spreadsheets and data into a variety of systems and project management software.

VIEW JOBS 12/4/2019 12:00:00 AM 2020-03-03T00:00 <p>The Benefits Coordinator partners with benefits specialist and department management to provide back office support related to employee benefits and leave of absence administration. </p><ul> <li>Assist benefits specialists with new hire and life event online benefits enrollment and changes by coordinating with company’s outsourced back office administration team. </li> <li>Provide administrative support regarding project management, including monitoring of milestones/tasks, updating and updating status by coordinating with benefits specialists. </li> <li>Liaising with insurance providers on behalf of employees and the company. </li> <li>Team lead working with online enrollment vendors. </li> </ul><ul> <li>Monitor benefits providers’ weekly interface files reports to ensure accuracy and correct any errors. </li> <li>Responsible for the accuracy of employee/employer premium contributions via membership audits and act as liaison with benefits premium reconciliation vendor. </li> <li>Assist with annual open enrollment preparation, communication and processing. </li> <li>Provides support to with processing leaves of absence forms, including medical, FMLA, PDL, STD, LTD, military, and personal leaves. Coordinate leaves with the payroll department under the direction of a benefits specialist. </li> </ul><ul> <li>Coordinate with insurance companies and employees to monitor claim issues for resolving and reporting to Benefits Manager and Benefits Specialists. </li> <li>Engage in special assignments by collecting, analyzing data and results whenever necessary. </li> <li>Determine process improvement areas. </li> <li>Other related duties as assigned. </li> </ul><p><br></p><p><strong>Requirements</strong></p><ul> <li>Bachelor’s degree or equivalent work experience.</li> <li>Minimum of 3 years of experience in benefits and leave of absence administration and/or related Human Resources functions.</li> <li>Leaves of absence and workers compensation administration experience preferred.</li> </ul><ul> <li>Attention to detail, accuracy, ability to prioritize/multi-task and meet deadlines.</li> <li>Excellent interpersonal, written and verbal communication skills.</li> <li>Strong internal customer focus, along with a desire to learn all aspects of benefits administration.</li> <li>Flexibility, adaptability and ability to shift priorities based on the organizations’ needs.</li> <li>Integrity, professionalism, discretion and ability to maintain confidentiality essential.</li> </ul><ul> <li>An enthusiastic team player with a strong drive to create a positive work environment.</li> <li>Proficient in Microsoft Office Programs (Outlook, Excel, Word, PowerPoint), HRIS and CRM systems. </li> </ul> Emplicity Irvine CA
