Birchwood Senior Apartments, offering affordable senior housing located in Old Bridge, is seeking an Administrative Assistant. The incumbent will provide administrative support to the Property Manager. Daily office work will include keyboarding, scheduling appointments and phone work, assisting with resident applications and re certifications, maintaining housing files (both hard copies and through a database) and other responsibilities as assigned by the Property Manager.

Duties include the following:

  • Supports the mission and values of Lutheran Social Ministries of New Jersey, which is: Through the power of the Holy Spirit, and in response to God's love as revealed in the Gospel, the mission of Lutheran Social Ministries of New Jersey is to serve those in New Jersey who hurt, who are in need, or who have limited choices.

  • Works under direction of Property Manager, directly with the tenants as related to the certification/re-certification. Schedules appointments, gathers information, and other responsibilities as required.

  • Works with Property Manager on correspondence and memos as required.

  • Organizes and maintains complex tenant files.

  • Maintain confidentiality in all aspects of work.

  • Assists in organization of holiday and other seasonal parties.

  • Possess the patience and understanding to work with senior citizens.

  • Possess the ability to work independently in a professional manner.

  • Maintains housing management database, including:

  • Rent Collection

  • Vendor Payments - Recurring/Non-recurring items & contracts

  • Resident file maintenance

  • Resident applications

  • Initial certification/annual re-certifications

  • Work order processing

  • Resident relations

  • General clerical duties (filing, typing, answering phones, purchasing office supplies)

  • Completes annual compliance and HIPAA training and exhibits behavior as set forth by the LSMNJ Code of Ethics and Business Integrity in the performance of duties.

  • Adheres to the organization's Policies and Procedures regarding the compliance program of the organization and is timely in reporting any possible concerns.

  • Follows all local, state and federal regulations as they pertain to the position.

  • Adheres to the organization's Policies and Procedures covering privacy and security in compliance with HIPAA regulations.

  • Other duties as assigned by the supervisor, necessary for the efficient operation of the department/facility.

Experience and Skills:

Education/Training: High School Diploma or equivalent, or Certified Occupancy Specialist

Skill(s): Word, Excel, Access, PowerPoint, clerical, patience, flexibility, knowledge of technology, bilingual in English and Spanish.

Experience: 5 years' office experience. Strong proficiency in Microsoft office, and evidence of strong skills in organization, prioritization and self direction. Tax credit knowledge preferred.

Further Education: Willing to take courses paid for by LSMNJ to obtain a Certificate of Occupancy designation, and courses in Senior Issues and Senior Living.

The primary duties of the AAA Sales Associate (cashier) are to: * Learn and use established sales and service techniques to improve member/client retention, to meet or exceed quality standard scores, and to meet established productivity goals. * Utilizes current system, a Windows based PC application, enters accurate information and comments regarding a member's Roadside Assistance needs -including any special service considerations. Handles credit card and member billing transaction as appropriate. * Delivers extraordinary customer service to AAA members by accurately answering questions and interpreting club policy. Provides members with all necessary instructions to ensure a complete understanding of the services that will be rendered. Gives an accurate Estimated Time of Arrival. * Listens for, and probes for more information when necessary, and makes sound decisions concerning the prioritization of service (e.g., safety concern, extreme hardship to member). * Process payments for all business lines. Reconcile cash, check, and charges, process daily reports and ensure balance at end of day. Prepare daily cash deposit as directed. Assists with the receipt and data entry of tickets and travel product inventory and ordering of same as appropriate. * Learn and use established sales and service techniques to improve member/client retention, to meet or exceed quality standard scores, and to meet established productivity goals. * Effectively manage branch traffic patterns while greeting members and processing transactions. * Counsel potential members on the benefits and services of various membership plans with a concentration on selling Plus, Premier and auto renew. Conduct Membership Review for existing members, update and upgrade plans as appropriate. * Counsel and sell Financial Services products. * Respond to member requests related to the utilization of their member benefits and assist the member in understanding the value of their membership. Minimum Qualifications: * Effective communication skills, written and oral, to allow accurate completion of work. * Working knowledge of personal computer, Windows based applications and competent keyboarding skills to accurately and efficiently complete daily work assignments. * Proficient using the Internet, AAA Intranet, Travel booking sites, airline reservation system and other applicable legacy and web-based PC applications used to process work and service Member requests. * Proficient, working knowledge of geography and the ability to use manual (paper) or PC based maps as needed to assist members. * Ability to respond to customer inquiries and interact with individuals at a level normally acquired through the completion of a high school degree or equivalent and two (2) years of previous sales and/or customer service experience in a cash handling position. * Accurate math skills and the ability to handle multiple tasks simultaneously. Location Information: * Current hours of operation: Monday - Friday 9am-5:30pm. Saturday 9am-3pm * Store will be relocating in the beginning of December 2018 to Freehold * New location hours after the move will be Monday - Friday 7am-7pm. Saturday 8am-5pm.
