Job Summary

Under the supervision of the Program Manager, this position will be primarily responsible for the day-to-day operations with bariatric population in the front of office. This will include monitoring patient volume, assisting in routine Pre-Cert and insurance verification related issues, and aiding in any patient related questions or concerns. The position also participates in front desk functions, such as answering phone, assisting patients, scheduling appointments, placing reminder calls and entering referrals and other data entry tasks for the department. Provides information for the MBSAQIP national database as needed to maintain the organizations COE accreditation. Candidate should have a brief understanding of some basic medical/bariatric terminology to effectively communicate to both internal and external customers. This role will work congruently with colleagues and hospital staff to support and assist in the development and implementation of best practices, utilizing technical and financial resources to the fullest. The position will collaborate with other departments and specialties to educate and support increased access to care for all treatment options related to obesity.

Minimum Job Qualifications

  • Licensure or other certifications:

  • Educational Requirements: High School Diploma

  • Minimum Experience: Three (3) years hospital or physician's office experience. Minimum of two (2) years medical terminology, data entry, computer experience, business office experience and/or registration/scheduling.

Essential Tasks and Responsibilities

  • Performs front desk activities - greeting guests and patients, answering phones, scheduling and following up on appointments and schedule reminders.

  • Engages with patients via phone or email that are seeking treatment for obesity in a sensitive manner educating them on their treatment options and highlighting the benefits of our program. Provides support and encourages their next steps into the program.

  • Assists with community outreach through engagement in support groups, representing the service line at health fairs, and aftercare programs as needed.

  • Discuss payment options with patients to ensure they understand their benefits and insurance requirements specific to their treatment for obesity.

  • Send follow up communication to patients and give additional info to referring offices. Follow up on no-show patients and reach out to those inquiring through the internet.

  • Accurately collect fees and copays at time of service or when due as needed.

  • Responsible for ensuring effective communication to clinical modalities, patients, interdisciplinary team members, physicians, and management in the event that registration/scheduling/referral process changes/errors or questions arise.

  • Manages the referral work ques as assigned in the electronic medical record (EMR) keeping all ques up to date without delays in patient care.

  • Demonstrates excellent detail management and strong self-motivational skills. Be consistent, reliable, credible, respectful and provide timely service to patients, physicians, offices, and other disciplines.

  • Understands and utilize all computer systems accurately and efficiently.

  • Ability to communicate and implement (in an accurate and timely manner) process change as needed to accommodate high volume, or other unforeseen circumstances that may arise.

  • Responsible for tracking and trending data within the Department as requested and provides communication regarding any concern or trends to management and employees.

  • Assists in managing resources within budgetary constraints (supply ordering, patient education content, health fair supplies, patient seminar materials, inpatient education and discharge materials) as needed.

  • Utilizes time management skills to ensure completion of daily processes. Ability to adjusts routine and schedule as necessary to maintain supportive coverage within area of responsibility/locations.

  • Accurate precertification of all procedures and services related to specific modality; knowledge of medical necessity verification; capturing and documenting all pertinent patient demographic information for creating pre-registrations; confirming insurance coverage and verification of benefits; obtaining pre-certification if applicable; creating estimates for patient liability.

  • Willingly participates in education and training efforts to maintain knowledge level in a constantly changing environment.
