GENERAL DESCRIPTION:

This position will perform complex project management and administrative duties for the State Auditor and the Deputy State Auditor that require organizational and prioritization skills, independent judgment, accountability, confidentiality, and outstanding interpersonal skills. Responsibilities include but are not limited to handling incoming calls and correspondence, coordinating statewide training events, maintaining the State Auditor's website, managing multiple schedules, maintaining files, coordinating travel arrangements, organizing staff and stakeholder meetings with executive-level management, managing office policies, and tracking legislation. This position provides administrative support to various formal and informal subcommittees.

Customer Service

  • Greets the public and welcomes guests to the Wyoming State Auditor's Office.

  • Answers telephones and provides guidance to ensure questions or concerns are addressed quickly and appropriately.

Communication

  • Assists with public records requests to ensure deadlines are met and correspondence is directed to the appropriate person for response.

  • Proofs, drafts, and organizes information for written correspondence, including agendas and meeting minutes.

  • Manages the content and appearance of the Wyoming State Auditor's Office website.

  • Responsible for explaining and training office policies and procedures to new employees.

  • Opens mail and uses good judgment to determine significance, and distributes accordingly.

Office Coordination

  • Develops, distributes, and assists in the implementation of office policies and procedures.

  • Plans, schedules, organizes, and coordinates projects and meetings.

  • Tracks and organizes bills that affect the State Auditor's Office during the legislative session.

  • Maintains and organizes a filing system for the State Auditor, and updates it regularly.

  • Responsible for coordination of state training events facilitated by the State Auditor's Office.

  • Coordinates all aspects of travel arrangements to include detailed itineraries for the State Auditor and Deputy State Auditor.

  • Assists in a variety of special projects and other duties as assigned.

  • Provides other office support as needed.

Qualifications

PREFERENCES:

Prior successful experience as a project analyst or executive assistant.

KNOWLEDGE:

  • Excellent interpersonal skills, dependability, strong work ethic, team mentality, capability to handle difficult situations, discretion and flexibility.

  • Excellent verbal and written communication skills.

  • Knowledge of fundamental principles, concepts, practices of accounting, Federal regulations, and State Personnel Rules and policies affecting payroll procedure.

  • Ability to draft and distribute high-level documents, spreadsheets, and presentations.

  • Ability to manage multiple tasks with minimal supervision.

  • Knowledge of Microsoft Office Suite and Google, specifically Excel, Word, and PowerPoint.

  • Self-motivated and the ability to work independently.

MINIMUM QUALIFICATIONS:

Education:

Bachelor's Degree (typically in Business/Project Management)

Experience:

0-3 years of progressive work experience (typically in project management)

OR

Education & ExperienceSubstitution:

4-6 years of progressive work experience (typically in project management)

None

Necessary Special Requirements

PHYSICAL WORKING CONDITIONS:

  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.

  • Special physical demands are not required to perform the work.

NOTES:

  • FLSA: Exempt

  • This position is at-will and serves at the pleasure of the State Auditor's Office.
