Work Location: Malvern, PA - Hybrid, coming into the office at least 3 days per week with Monday, Tuesday, and Thursday being set days.

We are excited to announce an opportunity for an AVP - Facilities in our Facilities department. In this pivotal role, you will collaborate extensively with department heads and executive management, providing vital support in the daily operations of our facilities. This role demands a profound commitment to enhancing the functionality, comfort, safety, sustainability, and efficiency of our physical spaces, alongside spearheading the development of new environments. The ideal candidate will exhibit exceptional client service skills, meticulous attention to detail, and the ability to manage multiple priorities simultaneously while maintaining composure under pressure. This dynamic position requires flexibility and the capacity to adjust roles as needed. What you'll do:

  • Manage the day-to-day work orders and vendor relationships for our entire portfolio, this includes creation, defining the scope of work with the requestor, dispatching vendors and assignments, scheduling service, and following up to make sure work is complete and the requestor is satisfied. It will also include gathering proposals for larger jobs, obtaining approval, and coordinating until completion.

  • Provide project management on larger jobs. Partner up with Business Units to address their needs and formulate the scope of work. Work with vendors on execution while sticking to deadlines and managing to completion. Send timely updates to associated team members and departments throughout the project.

  • Lead and develop Jr. associates in facilities management matters

  • Make decisions for the bank when it comes to projects while adhering to all company policies and guidelines.

  • Administer, manage, and maintain the utilities for all applicable locations for services such as electric, gas, water, sewer, etc. Make sure accounts are up to date and paid in full. Address any outages or issues with the services they are providing.

  • Control the re-occurring services for all locations and make sure they are routinely scheduled.

  • Manage the collection of all related facilities documents (inspections, certificates, etc.) and keep them electronically stored for future reference and audit purposes.

  • Coordinate janitorial services for all locations. Monitor vendors for performance in following scope and to ensure workplaces are cleaned and safe for use.

  • Schedule site visits to perform inspections of our sites, identify any issues, and develop a plan of action to address them.

  • Procure vendors drive vendor management including: vendor invoice reviews and approval, vendor SLA management, invoice approvals, issue resolution, review and RFP processes to drive efficiency.

  • Give top-notch customer service to all team members, listen to their concerns, and address their questions. Formulate a game-plan to resolve their inquiries

  • Assist and support other department functions when needed and enhance organizational initiatives with positive influence.

  • Support CRE functions in the following ways as called upon:

  • Conduct market research and analysis in real estate markets relevant to the company's operations.

  • Support transaction management processes, including due diligence, documentation, and compliance.

  • Perform comprehensive financial analysis, including forecasting, budgeting, and preparing financial reports related to real estate transactions and portfolio performance.

What do you need?

  • 5+ years of experience working in Facilities and/or Property Management departments or similar experience

  • Valid Driver's license

  • Ability to travel within the Bank's footprint as needed
  • Knowledgeable in procurement of services, processing of PR's, PO's and invoicing

  • Must be able to respond after hours for Facilities emergencies

  • Strong interpersonal, organizational, and communication skills

  • Strong prioritization, and problem resolution skills

  • Ability to work independently

  • Proactive, innovative, self-starter, and results oriented
  • Attention to detail and excellent time management skills

Technology Skills:

  • Advanced knowledge of Microsoft Excel, Word, and Power Point presentation software and ability to learn other job-related computer systems
