The Manager, Field Services Auxiliary fulfills the Field Services Auxiliary function within Emory University's Library and Information Technology Services (LITS) division. Reports to the Associate Director, Field Services and will serve as Manager of the Auxiliary teams; DWDM, Outside Plant, Cable TV and Warehouse operations that support functions for all network components of Emory University, including Emory Healthcare, academic units, and administrative business units.

This position is a key part of the Network Services organization and supports an extensive enterprise network that includes data ports, voice lines, and wireless access points. Assists in the overall accountability for human resource, budget and administrative functions for the organization.

Represents the organization as initial point of contact for requests related to DWDM, Outside Plant, CATV and Warehouse operations which requires a good overall knowledge of organization functions. May act as the primary delegate representing the Associate Director, Field Services in their absence including: resolution of budget management, business planning, and tactical planning issues.

Decisions must be made in an environment of constant change while balancing multiple priorities that include rapidly changing user requirements, fluctuating revenue streams, financial limitations, engineering and service requirements while incorporating capital and expense budget pressures. Provides expertise in technical areas.

Responsible for the implementation of total quality, methods and procedures, and process programs for a business unit. Plans, develops, and implements techniques for ensuring the maintenance of quality levels using accurate methods, procedures, and processes.

Writes, rewrites and/or edits documents such as technical procedures, organizational best practices, operational procedures, and related technical documents to clearly and effectively communicate technical specifications and instructions to a wide range of audiences. Acts as a primary resource for all organization procurement requirements and activities.

Responsible for all asset management functions for Network Services including management of the warehouse, capital asset procurement, and inventory control. Oversees procurement, preventive maintenance, and emissions testing for LITS vehicle fleet.

Works with Healthcare and University stakeholders to ensure that service delivery meets and exceeds requirements for patient care, education, and research. Performs other duties as required. MINIMUM QUALIFICATIONS:

A bachelor's degree and eight years of experience in information technology management positions, OR an equivalent combination of education, training, and experience. Experience in a university and/or academic health care environment is preferred.

Maintains a good working relationship between Hospital staff and the Auxiliary. Manages the Auxiliary Office. KEY RESPONSIBILITIES: 1. Oversees the day-to-day operations of the Auxiliary, including some scheduling of volunteers and managing them. 2. Assists with preparation publications such as board notebooks and The Pink Sheet. 3. Assists the President, board members and committee chairmen in planning and organizing functions and meetings. 4. Maintains, revises, edits and disperses volunteer manuals and policies with the Volunteer Chairman and assists in keeping the organization in compliance with HIPAA and all regulatory standards. 5. Oversees and assists with all activities of Auxiliary committees and special projects. 6. Maintains a working knowledge of the gift shop to assist in the absence of the manager or volunteer as needed. 7. Acknowledges and records all Auxiliary gifts and donations by category. Prepares and sends a quarterly report of donations and gifts to the Foundation Department. 8. Maintains all records and handles correspondence for the Auxiliary President and committee chairmen and maintains office supplies and files. 9. Assists with the preparation of materials for the Auxiliary budget. 10. Coordinates Auxiliary special events and functions. 11. Assists with the membership directory. MINIMUM EDUCATION REQUIRED: Associate's degree in a business or healthcare-related field or equivalent experience. MINIMUM EXPERIENCE REQUIRED: Two (2) years managerial experience. MINIMUM LICENSURE/CERTIFICATION REQUIRED BY LAW: None. ADDITIONAL QUALIFICATIONS: Experience in a large volunteer organization preferred. Requires excellent people and communication skills and knowledge of social and business etiquette. Must be proficient in word processing; other computer knowledge preferred.
